Smart Assessor might seem a bit confusing at first, but don’t worry — once you get used to it, it’s actually quite easy to use.
When you first log in, you’ll see some tiles on the screen — this is your Homepage. You can always get back to it by clicking the Home icon on the left side of the grey menu bar.
You will only be using some of the tiles from the Homepage...
The pink calendar icon takes you to your Learning Plan. Here, you can see all your past and upcoming sessions, such as reviews and assessment visits. You’ll also find any files linked to those sessions and you can see any targets (Actions) that were set for you during each session.
This tile shows how many Off-The-Job training hours you’ve done so far. It shows either a + if you're ahead of your target, or a – if you're behind and need to log more hours. Clicking on the tile will open the Timelog menu, where you can see your past entries and add new ones.
Your targets are usually listed under each session in your Learning Plan, but if you want to see all your open targets in one place, just click the amber Actions & Activities tile.
This shows a full list of your outstanding Targets, no matter which session they’re from. Once you’ve completed a target, you can mark it as complete from here.
The Wellbeing tile directs you to a list of useful links and resources including a link to this Apprentice Space hub.
Here you can review and quickly sign any documents that require your electronic signature.
Click on your Profile Picture to navigate to the Profile menu where you can upload a new picture and change your Smart Assessor password.
You will not be using any of these other tiles.
From the Homepage, you can click one of the tabs next to Overview to open the Portfolio for a specific course. Or, you can click Portfolio on the menu bar
In your Portfolio, you’ll see tabs like:
Apprenticeship Standard
SHAPE Passport
Gateway Milestones
Plus any additional qualifications you’re enrolled on.
Each one has its own Portfolio section, and you can easily switch between them.
The Gateway Milestones course has a slightly different menu
The progress widget shows how far you’ve come in your course.
The orange bar shows how much of your work has been marked by your assessor — this increases as more of your work is assessed.
The blue bar shows how far through the course you are in terms of time — from your start date to your expected end date.
The green bar shows the parts of your course (units) that are fully signed off and don’t need any more work.
Clicking the Upload Work tile opens your evidence library where you will upload evidence (work) to your e-portfolio.
The purple Units tile shows all of the units you are assigned to in each course. Click on any given unit to see work mapped to that unit, see your progress and sign it off when complete.
The Learning Plan shows all your past and upcoming sessions, like your Reviews and Assessment visits. You’ll also find any files linked to those sessions, like your review records, and you can see any targets or actions that were set for you too.
You can view any resources that have been added to your course. These can include helpful information, or forms and templates you’ll need to use when putting together your evidence.
Progress Map shows you which parts of the course you still need to cover. It’s a helpful tool that highlights any gaps in the assessment criteria, so you know where you need to add more evidence.
You will not be using these other tiles.
The Learning Plan stores is where you can see previous and forward-planned sessions such as your Reviews and Assessment visits. You can also see files attached to those sessions such as the Review record, and you can see any Targets that were set as Actions in each session. You can access the Learning Plan from the Home page (pink tile) or the Portfolio page (blue tile)
You can see all your sessions here, including your Induction and Review meetings. You might also spot any future sessions that have already been planned. The newest ones will always appear at the top.
You’ll also find any Actions you’ve been given. If the Action icon is red, it means there are still things you need to complete for that session or course.
On the left, you’ll see a small chevron arrow. Click it to expand the session or course and view any Targets or documents linked to it.
From the Home page, click Actions & Activities to view all outstanding targets. You can edit each Action to close them when complete.
The Evidence Library is where you upload all your work and link it to the right units and assessment criteria.
To open it, click Upload Work from the Portfolio menu — but make sure you’ve selected the correct course first.
See below, in the top half of the screen you can upload your work.
In the bottom half, you can see everything you have uploaded so far and map it to the necessary units and criteria.
In the Units tile, you can browse a specific unit to see which evidence is linked to it and how much of the unit is complete.
Once a unit is 100% complete, you can sign it off with your electronic signature. To open a unit’s evidence record sheet, click the unit in the tile. Remember — each course has its own set of units, so make sure you’re in the right course first.
