An accounts payable voucher is a document used to verify and authorize payments to suppliers. It ensures accuracy by matching invoices with purchase orders and receipts, requiring approval before payment—helping businesses maintain proper financial records and control cash flow.
Go to the side menu and click 8. Accounting.
Click 8.1 Journal Entry Processing
Select 8.1.1 Accounts Payable Voucher
Click Browse P.O - a Browse PO window appears
Select Bookset from the dropdown.
Tick the checkbox for each approved PO item to include.
Click Confirm.
Review the Journal Entry preview.
Click Confirm to create the Accounts Payable voucher.
After Confirming from Browse PO window screen — you will be redirected to Accounts Payable entry screen.
Review the populated details and accounting entries.
Enter Description of the transaction.
Select Purchase Type and Posting Type for BIR reporting.
Click Save to make the entry For Posting.
Click New Entry or press Ctrl + N.
You will be redirected to the Accounts Payable window.
Fill required fields such as Description, Supplier, Project, Purchase Type, Posting Type, Reference No.
Select Book Set.
A Value entry form will pop up.
Enter a value in the form.
Review details and accounting entries.
Click Save to record the entry.
[NOTE] You can also print the Accounts Payable Voucher (APV) transaction form by clicking the View/Print button in the action toolbar. This will generate a printable copy of the entry for filing or approval purposes.
In the filter buttons, select the payment voucher tagged as For Verification/ For Posting.
Select transaction and Double‑click it to view the entry form.
Click the button displayed on the right side of the signatory's field.
A Confirm dialog box will appear.
Select Yes to verify/post the transaction.
