All Georgetown spaces are reserved via the online Event Management System (EMS). 

In a nutshell, MBA Student Organizations can book MSB Hariri Classrooms. If clubs are GradGov members, they can also book outside Hariri.
To book Fisher & Lorhfink, MBA student leaders must email the MBA Program Office at least 30 days in advance. More info below.

MBA Student Organizations Leaders can reserve Classrooms and conference Rooms available on 2nd, 3rd and 4th floor at the McDonough School of Business (MSB) Rafik B. Hariri Building.

Which classrooms and conference rooms can MBA student organizations reserve in Hariri?

MBA Club Leaders can self-book classrooms on the 2nd, 3rd, and 4th floors at McDonough School of Business - Hariri Building without Staf help.

What is the process for booking Hariri's classrooms as an MBA Student Organization?

1- Go to EMS and click "Log into Georgetown University Space Request System," then log in using your student organization's username and password.
We suggest  logging into EMS in a separate browser profile or an ignocnito window.
Please note you'll need your student org email and unique password that was sent privately to Presidents and EVPs.
If you don't have access to your student org email via SSO, you won't be able to access EMS. Please contact your President and/or EVP.

2- On the left side of the screen, select the button "Create a reservation".
Then, on the Reservation Templates Page, select "book" near the template named "MSB / MBA Hariri Classroom Reservations"

3- Select the date and the time that you would like to reserve, and click "search".
If the room is available during that time, click on the green plus sign near the room, define the number of attendees, and select set up type. Then click "next step"

4- Add your event information, including your contact information (Name, Email and Phone).
This step is important because if anything changes in the availability of the room, they will reach out to you directly. You can choose to add a 2nd contact as well. Then click on "create reservation".

5- You'll receive an e-mail from EMS with your confirmation, and then you are all set.

Please note that academic events have priority on using campus spaces, so if any changes are needed, student leaders will be notified in advance. Ensure your MBA Student organization is following all the Georgetown & MSB Policies, including minor protection and alcohol.

How many rooms can MBA Student Organizations reserve, and what are the restrictions?

STUDENT LEADERS ARE RESPONSIBLE FOR SETTING UP AND CLEARING THE SPACES BEFORE AND AFTER EVENTS. STUDENTS ARE NOT ALLOWED TO MOVE FURNITURE AROUND THE HARIRI BUILDING WITHOUT APPROVAL FROM MBA PROGRAM OFFICE. FEES WILL BE APPLIED.

What is the process for reserving Fisher as an MBA Student Organization?

1- Check Availability:
Log in to your MBA student organization EMS account and review Fisher Colloquium's availability.
(From the login page, on the left under Browse, select Locations => Add/Remove Locations => Views => select MSB Hariri Complete => Update Locations)

2- Reservation Request:
Email the MBA Program Office (at least 30 days in advance) with these details:
a. Event Name
b. Event Description
c. Involved Student Organization(s)
d. Event Date
e. Event Start and End Time (excluding setup time)
f. Desired Reservation Start and End Time (including setup time)
g. Expected Number of Attendees
h. Additional Equipment Needed (if any): (extra chairs, tables, linen, trash bins). Be specific on the numbers and types of items you'll need. (E.g., 10 round tables that fit 10 chairs. Check examples on Fisher Floor Sample Plans).
i. Will your event involve VIPs (dignitaries, anyone that requires a security detail)? If yes, send more detailed information.
We'll notify the Protocol Office (Jackson Menner and Mary Haines) and fill up GUPD Event Security request form - Lt. Joyce Pearson
j. Will food be served during the event? If yes, what vendor will you hire? (Please note that student leaders are responsible for ordering food).
k. Will you need A/V Support?
Once information is received, the MBA Program Office Team will send a request to reserve the space on your behalf. 

3- Reservation Confirmation:
The McDonough Event Team will review the request and inform you via email if the reservation is confirmed.

4-Post-Reservation Actions:
- Once confirmed, follow the steps on the MBA Event Planning Page.
Ensure your MBA Student organization is following all the Georgetown & MSB Policies, including minors protection and alcohol.
- If food will be served during your event, MBA Students are responsible for contacting/managing vendors for catering.

- For Audio/Video support, contact the MSB Tech Team at msbhelp@georgetown.edu with at least  15 days prior to the event.
(Be specific on what type of support you'll (E.g. Set up screen and audio, microphones, zoom capabilities, someone on-site to help set up)

5- After the Event:
MBA Student leaders are responsible for room setup, clearing, or coordination with vendors.
Students must take all the trash outside Fisher and take the to the dumpster on the second floor.
The room should look the exactly way that you found it.

What's the difference between "Reservation Requested" and "Confirmed"? 

When the MBA Program Office asks to book Fisher or Lohrfink rooms, you'll first get an email confirming your request details, labeled as "Web Request." But this isn't the final confirmation. The actual confirmation, marked as "Confirmed," will arrive once either the McDonough Events or Georgetown Event Management Services Teams approve your request. This "Confirmed" email means your reservation is officially approved and secured. Please note that academic events have priority on using campus spaces, so if any changes are needed, student leaders will be notified in advance.

Lohrfink Auditorium

Hariri Building – 2th Floor

Lohrfink Auditorium is located in the Hariri Building. This space is only available to internal clients. It has capacity for 396. The room includes fixed auditorium seating, a fixed podium, and a green room (by request).

Hours of Operation: May be reserved Monday through Saturday between the hours of 7:30am – 11:30pm.  It is not available for use on Sundays.

Food and Drink is NOT permitted inside Lohrfink Auditorium. Violation of this may result in additional fees to cover any and all damage or clean-up. A small reception area is available by request.

What is the process for reserving Lorhfink as an MBA Student Organization?

1- Check Availability:
Log in to your MBA student organization EMS account and review Lohrfink Auditorium's availability.
(From the login page, on the left under Browse, select Locations => Add/Remove Locations => Views => select MSB Hariri Complete => Update Locations)

2- Reservation Request:
Email the MBA Program Office (at least 30 days in advance) with these details:
a. Event Name
b. Event Description
c. Involved Student Organization(s)
d. Event Date
e. Event Start and End Time (excluding setup time)
f. Desired Reservation Start and End Time (including setup time)
g. Expected Number of Attendees
h. Additional Equipment Needed (if any)
i. Will your event involve VIPs (dignitaries, anyone that requires a security detail)? If yes, send more detailed information.
j. Would you like to reserve the green room and/or reception area at Lohrfink?
Once information is received, the MBA Program Office Team will send a request to reserve the space on your behalf. 

3- Reservation Confirmation:
The Georgetown Event Management Services (GEMS) Team will review the request and inform you via email if the reservation is confirmed.

4-Post-Reservation Actions:
- Once confirmed, follow the steps on the MBA Event Planning Page.

Self-booking for GradGov Members:
MBA Student Organizations that are GradGov members can book rooms OUTSIDE Hariri without Staff help. Log in to your MBA student organization EMS account and make the reservation. 

MBA Clubs that are NOT GradGov Members

Non-GradGov Members: How to reserve on-campus spaces outside Hariri?

MBA Student Organizations can organize spaces off-campus, and for that, student leaders are responsible for reserving venues.
