The Inventory Fire Truck Check-In is a huge resource for BMFA. It is imperative that we take great care to ensure the data we are recording in Salesforce is accurate and complete. A basic check-in flow is demonstrated below:
Truck arrives to the main campus.
Download the truck.
Inspect the truck for damage and capture pictures.
Take a picture of the VIN number.
Identify stock number in Salesforce.
ID the product.
Change the location to to BMFA Main Campus.
Open a mechanical check In record to record all findings In the check In
If the check In cannot be completed, create a workflow request noting what Items are needed to complete, for example:
Cannot complete road test due to dead batteries
Cannot pump due to overheating Issue
Cannot operate aerial due to electrical Issue with aerial
Rust could need additional repair beyind undercoating scope; please review and advise
etc.
This workflow will be managed first by Operations, then the Purchase Rep and/or Sales Manager Involved to decide how to proceed.

Navigate to the truck's purchase opportunity, where terms are shown In the body of the opportunity.
Details can be seen by navigating to the "Truck Quote Dealer Commission", then to the Quote Terms record which was used to close the record.
Let the Purchase rep know If the results observed upon arrival at Brindlee differ from what was noted In the Quote Terms.
Print the window sticker.
Put the window sticker on the windshield.
Put the stock number on the officer side window with a paint marker.
Park the truck.
When Trucks arrive on campus a BMFA Employee needs to be involved in the process of receiving the truck. This entails speaking with the Driver who is delivering the truck to ensure there were no issues during the delivery, inspecting the truck for damage, identifying the truck, and parking the truck in the appropriate location on the property.
Inspect the Truck for damage
Take pictures of all sides of the truck and close up pictures of any damage
Take a picture of the VIN Plate
Look up the Stock Number in Salesforce using the VIN
Change the Truck Location on the Product Record to "BMFA - Main Campus"
Upload the pictures taken earlier to the related Google Drive Folder on the product record
Print a Window Sticker for the Truck by using the button on the Fire Truck record
Tape the Window Sticker to the inside of the Officers side windshield
Use a paint marker to write the Stock Number on the Officers side window
Park the truck in the appropriate location on the property
Creating the Project is an important step in the check-in process. This is where we will track all the information about the time spent and parts needed for this truck.
Locate the Product Record
Navigate to the Related Firetruck Record
Hover over the word "Projects" in the Related List Quick Links section and click "New"
Record Type = Project
Create the project name using these steps
Copy the Product name
Remove the Fire Department name from the copied Product Name
Account = Brindle Mountain Fire Apparatus
Opportunity = Inventory Truck at BMFA
Entity = BMFA
Status = Active
Project Priority = 3 - Within Expectations
Quantity ordered = 1
Manufactured product = The trucks Stock Number
Ops Team = Team 17 - Check-In
Parts ops walk around needed = Unchecked
Project Start Day = the date the truck arrived
Ops Projected Completion Date = 4 weeks out
On Property = Checked
