Determining Prerequisite Roles within the Test Information Distribution Engine (TIDE)

This section will address the variety of roles available in the Centralized Reporting System (CRS) and how/where to gain access to the CRS.

Accessing the Online User Role Matrix:

  4. There are a variety of different documents available that outline user roles/permissions. The Online User Role Matrix provides a breakdown of all user roles and permissions.

Each year, the Ohio Department of Education updates and shares an Online User Role Matrix to outline the unique user roles as it relates to TIDE, the test administrator interface, the data entry interface, and/or the reporting system. Districts must consider the level of access needed for each user.

The table below outlines possible roles within the user guide. Each user role has slightly different permissions, which may make things like the dashboard and/or reporting look different from various lenses.

As a general rule of thumb, in dealing with the reporting system: Teachers can view data for all students in their classes (rosters) who have completed assessments. School users can view data for all students in their schools who have completed assessments. District-level users can view data for all students in their districts who have completed assessments. Once the district determines who needs roles and appropriate levels of access (user roles), the DTC, DA, or BTC can upload the user and assign the specified roles in TIDE.

For the purposes of this training, we will be diving deeper into navigating the system as a DRU.

Accessing the Centralized Reporting System

The Centralized Reporting System is accessed through the CRS card located in Ohio's Assessment System. Step-by-step instructions are available via a short video or written instructions including screenshots.

Click on Centralized Reporting System (CRS), which is located under After Testing

Login to the CRS. Please note, the password expires each school year. You will be prompted to create a new password for the new school year, as indicated below. As a reminder, the district must upload you into TIDE as a user (with appropriate level of access). This can be done by the district test coordinator, district administrator, and/or building test coordinator

The Wyndham Local School District has experienced turn over with their staff. They reach out to their RDL for support. Help the district identify the most appropriate TIDE role for each new employee, based off of their data needs.

Sally Smith is a teacher aide. She will be administering an upcoming assessment within Boston Elementary, but will not need to view the data. What role is most appropriate?

Test Administrator (TA)

Marquita Jones is a fifth grade teacher at Boston Elementary. She needs to be able to view her students’ data. What role is most appropriate?

Teacher (TE)

Bryan Quincy is a mathematics coach for Boston Elementary. He has no roles in ordering tests, uploading students, and/or setting up testing tools. The building would simply like him to be able to see all building level mathematics data and be able to view/edit rosters to accommodate for various groupings of students (i.e., those engaged in after school programs). What role is most appropriate?

Building Reporting User (BRU)

Madeline Markatz is a district curriculum director. Her role will include preparing for the administration of the assessment (i.e., helping add users, manage settings/tools, add students, upload student attributes, upload pre-id files, etc.) as well as being able to view data and view/edit rosters after testing has been completed. What role is most appropriate?
