Tasks are normally set up and controlled from the Pay Run screen, but are also show here on the 'Home' tab.
Payroll Administrators can set up Tasks to record specific things that should be completed as part of the Pay Run. Against the Task the subject/description, task due date, priority and if necessary a link to a particular record e.g. the current or a future Pay Run would be included. Tasks will automatically be assigned to the user who creates it, but it can be assigned to another member of the team if appropriate.
Tasks can also be automatically created and assigned by the Prepare function e.g. request for the Payroll Administrator to check employees for incomplete set up. This could be as a result of the Payroll Starter details not being set up.
My Tasks and My Team Tasks are also displayed on the Calendar.
The Task component can be found in the top right section of the Home page - the default view is 'Today's Tasks'.
Click on the Tasks drop down (as highlighted) to see available Task views:
My Tasks: tasks assigned me be that are due today
All Overdue: all open tasks that have a due date before today
Completed Within last 7 Days: shows all tasks that have been marked as complete in the last 7 days
Delegated Tasks: open tasks that have been assigned by me to another user
Click on the 'View All' link to see all open Tasks.
Click on the Task link to view further details of the Task. Comments can be added to the task.
Click on the Mark Complete button to remove the task from the relevant views.
Tasks are normally created from the individual Pay Run but can also be created through the Home tab:
Click on the 'View All' link and then the New Task button at the top right of the screen:
Subject: The standard options are 'Call', 'Send Letter', 'Send Quote' and 'Other' but any text can be written here. The 'Subject' text will appear on the actual Calendar entry
Assigned To: The task will by default be assigned to the logged in user. This can be assigned to another team member.
Priority: Assign a priority of High, Medium or Low to the Task
Due Date; Enter the due date
Comments: Add Comments as necessary
Related To: The Task can be specifically linked to a particular record e.g. to a Pay Run
Click the Save button
