To publish and print Payslips and P45s, click on the 'Payments' tab from the main menu:
From the 'View' drop down select one of the following option:
Actionable: shows all records that have not been completed e.g. Payslip not published whether current period or not
Current period: list all records that relate to the latest operido being processed for each payroll
All: shows all records
At any stage after the draft Pay Run has been processed the Payroll Administrator can view the (draft or final) Payslips of any Employee. The Employee can however only view their Payslips online after the Pay Run has been finalised and been published by the Administrator.
To publish the Payslips:
From the Payments tab click the Publish button under the 'Payslips' column
The status of the column will change from 'Publish' to 'Published'. The Employee can now view their Payslips by clicking on the View Payslips button on their My Details page. The Employee will be notified by email that their payslip is ready to be viewed.
In order to publish a message on the payslip for all employees go the Pay Run page and click into the 'Payslip message' field. Enter the message and click Save.
The message will be displayed on the payslip after the payslip has been published.
Note: the payslip message must be entered before the Payslips are Published. The payslip message will be written to the employee Pay Summary record on publish. The message can be overwritten for an individual employee by overwriting the message against their Pay Summary record.
At any stage after a Draft Pay Run has been processed the Payroll Administrator can view the P45 for an employee leaving. Once the Employee leaves the company they will be deactivated as a user and will no longer be able to log in - the employee will therefore not be able to view their P45. Instead the P45 should be sent to the employee.
To publish the P45 (these will only be available to Payroll Administrators):
Click on the 'Payments' step on the Pay Run
Select relevant record
Click the 'Publish' button under the 'Leaver P45' column
The status of the column will change from 'Publish' to 'Published'. The Employee can now view their Payslips by clicking on the View Payslips button on their My Details page. The Employee will be notified by email that their payslip is ready to be viewed.
In order to output a message on the payslip, edit the relevant Pay Run and enter the message in the 'Payslip message' field. Click the 'Save'.
The desired message will be displayed on the payslip.
Note - P45s will not be generated for employees with 'Reason for leaving' of 'Deceased' or 'Death in service'.
