Sickness Leave Requests can be reviewed and confirmed for payment from the Pay Run screen using the 'Review Sickness' button.
Click on the Review Sickness button:
The screen will list all Leave Requests from the current Pay Run where the leave type is 'Sick' and where payments have not yet been confirmed.
There are 2 steps required to fully process these sick leave requests. The first is to confirm that all statutory conditions have been met for each record and then to confirm that the sick Leave Request can be processed for payment.
All Leave Requests to be processed in the current period should be in the system before the 'Prepare' function is processed. The 'Prepare' function will populate the 'Payroll - current period end date' field against each Leave Request with the current period end date which will then trigger the calculation of any occupational sick payments due and associated salary deductions. When the Review Sickness button is clicked these values will appear on the screen thereby allowing the Payroll Admin to see what is due to be paid ahead of confirming payment.
Note - if Leave Requests are entered after 'Prepare' has been processed, in order to see the occupational pay and salary deduction before confirming payment, the 'Payroll - current period end date' field must be manually populated against the individual Leave Request. This will then calculate any payments due and these can then be viewed on the Review sickness screen.
The following screens show the details on the 'Review sickness' screen as we progress from pre-Prepare to post-Prepare and then any updates made by clicking on the 'Statutory conditions met' and 'Confirm payments' buttons.
Prior to the 'Prepare' function being processed the sick Leave Requests will be listed but there will be no values populated:
After the 'Prepare' function is processed 'Occupational pay this period' and 'Salary deduction this period' is shown for each Leave Request:
The system is aware of service and earnings conditions but eligibility to Statutory Sick Pay relies on additional conditions outside of payroll being met e.g. a FIT note or other evidence not provided in line with employer policy or employee in custody on first day of reported sickness. Statutory Sick Pay will therefore not be calculated until the Payroll Administrator confirms that all statutory conditions have been met. Note - if the 'Statutory conditions met' checkbox has already been ticked against the Leave Request then this will show as checked on this screen.
Select relevant employee Leave Requests using the check boxes as shown below (click on top check box to select all) and then click on the Statutory conditions met button:
The 'Stat conditions met' checkbox will become checked against each Leave Request that was selected above and 'Statutory pay this period' will be calculated and displayed:
Note - if 'Stat conditions met' is not checked only the occupational payment and salary deduction will be processed in the next draft i.e. there will be no SSP.
The next step is to confirm payments so that on next draft any sick payments get processed. Select the employee Leave Requests that are to be enabled for payment using the check boxes as shown, and then click on the Confirm payments button.
Any Leave Requests confirmed will disappear from view i.e. no further action is required:
Note - if the 'Stat conditions met' and/or 'Confirm payment' checkboxes have been incorrectly set these should be unchecked through the individual Leave Request.
