Employees due a regular salary increment can be identified and processed simply using the XCD Salary Increment function. The function should be run each month. It:
Identifies Employees who are not at the top of their Pay Band and whose next increment is normally due in the coming calendar month (e.g., because they joined the Authority 6 months' previously; or their increment is due on an anniversary date)
Shows relevant information, including current salary and also recent performance review results
Indicates the next Spinal point normally applicable
Displays the target FTE salary at the next Spinal point; and
Allows the Administrator to select the Employee and process the Increment.
Increments may be back dated; if a Pay Award is also being processed in the period the Salary Increment should be processed first.
Preparation for the Salary Increment may begin any time after the previous month's payroll is run.
1. From the Contract Terms page click on the 'Salary increment' button.
2. Select a filter to view Employees to be assessed:
Increment due before current month end
Increment due in current and next month
This will display relevant Employees.
3. Select Employees to receive an increment. To select all the Employees who should be paid the increment, click in the 'Action' box.
To deselect an Employee click in the box next to their name
Records may be saved for review; to do this click on 'Save draft'
4. 'Publish' will apply the salary increment to the selected Employees, setting up new Compensation records.
When the Salary increment is published, the process sets Effective from, new Spinal point and hence Annual salary and FTE salary; Previous compensation is set from the old Comp record and Effective from is set = null. All other data values, including Grade and pension contributions, are copied from the previous compensation record.
The increment due date is defined on the Employee's current Compensation record - this date defines whether or when the Employee next appears in the Salary increment process. The date is normally set by the system according to the Contract Terms' Rules for salary increment. Where increments are applied, these may be set for the April or September which falls 6 months or more after the most recent Compensation increase. The field is populated automatically when the Comp record is set up and when it becomes Current.
Below is an example of how the Increment Due Dates are set:
Employee A - start date 20/03/2017
Employee B - start date 25/12/2017
If Annual increment = April 1
Employee A's increment date = 01.04.2017
Employee B's increment date = 01.04.2018
If the Annual increment = Sept 1
Employee A's increment date = 01/09/2017
Employee B's increment date = 01/09/2017
Anniversary increment
Employee A = 01/04/2017
Employee 2 = 01/01/2017
The date is not normally overridden but this may be done after the Compensation record is made Current.
