LAPTOP SECURITY POLICY
PROCEDURES FOR LAPTOP PHYSICAL SECURITY
The employee has been provided with a laptop by “MXT” and he/she is responsible for the physical security of the laptop. All laptops acquired for or on behalf of “MXT” are deemed to be company property. The employee will be responsible for any loss / damage of the laptop, during its custody.
All employees must take the following actions to ensure the physical security of “MXT” laptops:
When not in use, the laptop must be locked with a password and caution taken when entering any company passwords on the laptop.
Store the laptop in a locked cabinet or desk when not in use.
Do not leave your laptop in your vehicle. If it is necessary to leave the laptop in your vehicle for a very short period of time, the laptop must be locked in the trunk of the vehicle.
When using the laptop in public areas, do not leave the laptop unattended for any length of time.
Employees are bound to inform the IT department if there is a heating problem or any problem occurs with the laptop. so cyclical service can be done to avoid any long-term damage to the device.
Employees should take care of their laptops while working from home.
Employees shouldn’t Drink or eat near the company laptop.
Company laptop shouldn’t have personal data as company can retrieve laptop from employee any time. No torrents, other malware or any software’s should be installed.
No Data should be copied through USB from the company laptop.
If there is a problem with windows, virus is installed, or there is a problem with the active track IT department should be informed asap.
USE OF THE IT EQUIPMENT AND INTERNET
The use of the Internet is only allowed, if this is directly related to the company tasks of the employee.
Employees shall not download non-business-related media on any IT equipment.
Employees shall ensure that USB or other storage devices assigned to them containing company official data are always kept secure and under control of the Employee. No unauthorized person should have or be given access to this data.
Employees shall not display or forward the personal data of company colleagues or other third parties on communication media or on social networks without obtaining the written permission of the team leaders.
Employees are expected to use the Internet and associated facilities responsibly and professionally. Any misuse which violates company proprietary or which imposes on the privacy, confidentiality or reputation of the company, may therefore be subject to disciplinary action.
DURING TRAVEL
Do not pack your laptop in checked luggage.
Attach a name tag or business card to your laptop to easily identify it during security checks or if lost.
Store the laptop in a hotel/apartment room safe or locked suitcase when you are not in the room.
THEFT OF LAPTOP
The person is bound to report theft to relevant authorities and then contact the IT or HR department through documented means with the police report. Management then will decide whether to charge the employee for the cost of laptop and terminate him or whatever is decided in consideration of the circumstances.
POLICY VIOLATIONS
Violation of this policy may be grounds for disciplinary action up to and including termination of employment. If an employee's laptop is stolen due to negligence, the employee will be responsible for the cost of replacing the laptop.
