ATTENDANCE AND PUNCTUALITY POLICY
1. PURPOSE
The purpose to of this policy is to outlines MXT’s expectation about employees coming to work.
2. SCOPE
The underlying scope of the Attendance and Punctuality Policy is to control the attendance and punctuality of the employees. They should note be late and follow the defined official timings and rules.
3. DEFINITION
3.1. Punctuality is when employee reports on the scheduled duty on time and completes his or her scheduled tasks within time. Being punctual when coming to work helps maintain efficiency in the workplace.
3.2. Absenteeism refers to frequent absence from an employee’s job responsibilities. This includes not coming to work frequently or taking excessive sick leaves without being able to submit doctor’s prescription.
3.3. Tardiness refers to coming in late, taking longer breaks than you’re entitled to and constantly leaving earlier from work without any reason.
4. DESCRIPTION
4.1. OFFICE HOURS
The official office hours are 9:30am to 6:30pm Monday to Friday.
4.2. GRACE PERIOD
In order to facilitate employees, the Company has allocated 300 grace minutes to the employees on a monthly basis.
In order to differentiate between occasional delays and habitual tardiness, the Company will be deducting salary for employees who exceed their free minutes quota.
4.3. FAILIRE TO MARK-IN OR MARK-OUT
Employees must Mark-in and Mark-out attendance using Biometric/Face-recognition Machine/manually on time, failure to this will lead to deduction from salary. If there is any problem recording a Mark-in/Mark-out, Employee should inform to HR Department immediately. Employees who constantly fail to Mark-in/Mark-out may receive disciplinary action.
If an employee fails or miss to mark attendance on attendance machine, HR Department shall adjust maximum 03 requests in a month including manual INs/ OUTs.
Half day salary will be deducted in case employee fails or miss to mark attendance on attendance machine for the fourth time and full day for the fifth time.
In case of any strike, crisis, or attendance machine problem HR will facilitate staff other than, the 03 monthly adjustments.
4.4. UNFORSEEN ABSENCE
If Employee cannot come in to work one day, he/she should inform to the HOD before 9:00am. HOD shall be responsible to inform HRD on immediate basis not to convert it in uninformed leave. Unreported absence for more than three days will be considered job abandonment.
If employee will have to take a short leave, he/she will submit a leave form to HR Department with the HOD’s acceptance for HRD approval.
Non submission of the short leave form will lead to half day salary deduction.
Doctor’s prescriptions or other verifications, must be presented to verify the unforeseen absence. Only in these cases, the unforeseen absence will be considered “excused”.
Uninformed absences shall lead to disciplinary action as per policy.
4.5. LUNCH/PRAYER BREAK TIMINGS
Employees are entitled to take lunch/prayer break 01:30 PM to 02:30 PM from Monday to Thursday.
Employees are entitled to take lunch/prayer break 01:00 PM to 02:30 PM on Friday.
4.6. DISCIPLINARY ACTION FOR ATTENDANCE INFRACTION
Attendance issues will result in progressive disciplinary action up to and including dismissal.
