EMPLOYEE PERSONAL CONDUCT
‘MXT’ expects its employees to achieve and maintain high standards of ethics, professional conduct and work performance to ensure the company maintains its reputation with all internal and external stakeholders.
The main objective is to enhance MXT’s reputation as a quality service provider and an enjoyable, stimulating and challenging place to work at. This will only happen when all of you are seen to perform your duties professionally with skill, care and diligence.
This includes:
Observing ‘MXT’ policies and procedures.
Treating colleagues with courtesy and with respect for their rights, duties and aspirations
Employees who do not comply with this standard of conduct will be subject to disciplinary action as detailed in this manual.
1. PHONE CALLS
It is acknowledged that personal communication is inevitable and sometimes necessary. It is expected that this will be kept to appropriate or reasonable levels during office hours.
2. OFFICIAL EMAIL ON COMPANY DOMAIN
Email has legal status as a document and is accepted as evidence in a court of law. Even when it is used for private purposes, “MXT” can be held responsible for the contents of email messages, including any attachments. Access to emails can be demanded as part of legal action in some circumstances.
Email should mainly be used for formal business correspondence and care should be taken to maintain the confidentiality of sensitive information.
If electronic messages need to be preserved, they should be printed out and filed.
Limited private use of email is permitted, provided that such does not interfere with or distract from an employee’s work.
Non-essential email, including personal messages, should be deleted regularly from the ‘Sent Items’, ‘Inbox’ and ‘Deleted Items’ folders to avoid data congestion.
All emails sent should include the approved company disclaimer.
In order to protect “MXT’’ from the potential effects of the misuse and abuse of email, the following instructions are to be observed by all users.
No material is to be sent as email that is defamatory, in breach of copyright or business confidentiality, or prejudicial to the good standing of “MXT’’ in the community or to its relationship with staff, customers, suppliers and any other person or business with whom it has a relationship
Email is not to contain material that amounts to gossip about colleagues, clients, partners, or emails that could be offensive, demeaning, persistently irritating, threatening and discriminatory
The email records of other persons are not to be accessed except by management (or persons authorized by management) engaged in ensuring compliance with this policy, or by authorized staff who have been requested to attend to a fault, upgrade or similar situation. Access in each case will be limited to the minimum required to complete the task.
When using email, a person must not pretend to be another person or use another person’s computer without permission.
Excessive private use, including mass mailing, “reply to all” etc. that are not part of the person’s duties, is not permitted
Failure to comply with these instructions is a disciplinary offence and will be subject to appropriate investigation. In serious cases, the penalty for an offence, or repetition of an offence, may lead to dismissal. You need to be continually aware that some forms of email conduct may also be open to criminal prosecution.
3. INTERNET
The internet is a facility provided by “MXT” for business use. Access is authorized by managers on the basis of business needs. Limited private use is permitted provided the private use does not interfere with or distract from a person’s work.
The following activities, using “MXT’s” internet access are not permitted:
Attending personal activities of a business nature.
Viewing, other than by accident, sites of incoming emails portraying obscene, violent, defamatory and unlawful material and material that could cause “MXT” is directed to instances where alcohol or other drug dependence or abuse affects the job performance and safety of others. “MXT” is concerned only with factors affecting an employee’s ability to safely and effectively perform work to a satisfactory standard.
“MXT” is committed to creating and maintaining a safe, healthy and productive workplace for all employees. “MXT” has a zero-tolerance policy with regard to the use of illicit drugs on their premises or the attending of other business-related premises (e.g. clients) while under the influence of illicit drugs. Contravening either of these points may lead to instant dismissal. Attending work under the influence of alcohol or drugs will not be tolerated and may result in disciplinary action or ultimately dismissal.
4. EMPLOYEE CODE OF CONDUCT
The company employees are bound by their contract to follow our Employee Code of Conduct while performing their duties. We outline the components of our Code of Conduct further in the next subsections.
5. COMPLIANCE WITH LAW
All employees must protect our company’s legality. They should comply with all environmental, safety and fair dealing laws. We expect employees to be ethical and responsible when dealing with our company’s finances, products, partnerships and public image.
6. RESPECT IN THE WORKPLACE
All employees should respect their colleagues. We won’t allow any kind of discriminatory behavior, harassment or victimization. Employees should conform with our equal opportunity policy in all aspects of their work, from recruitment and performance evaluation to interpersonal relations.
7. PROTECTION OF COMPANY PROPERTY
All employees should treat our company’s property, whether material or intangible, with respect and care.
8. EMPLOYEES
Shouldn’t misuse company equipment or use it frivolously. Should respect all kinds of incorporeal property. This includes trademarks, copyright and other property (information, reports etc.). Employees should use them only to complete their job duties. Employees should protect company facilities and other material property from damage and vandalism, whenever possible.
9. INTELLECTUAL PROPERTY RIGHTS
All work products generated by an employee during his/her employment, including electronic data, pictures, graphics, papers, worksheets, logs, records, reports, documents, training material, codes, applications, development, or any related material etc. shall be the sole and exclusive property of the company. Without limiting the generality of the foregoing, the company shall own all intellectual property rights to any invention, discovery, improvement, or design conceived by an employee. Employee cannot share the client details with others outside the company or with another client or cannot use it for freelancing and for any kind of business.
10. PROFESSIONALISM
All employees must show integrity and professionalism in the workplace.
11. PERSONAL APPEARANCE
All employees must follow our dress code and personal appearance guidelines.
12. CORRUPTION
We discourage employees from accepting gifts from clients or partners. We prohibit bribery for the benefit of any external or internal party.
13. JOB DUTIES AND AUTHORITY
All employees should fulfill their job duties with integrity and respect toward customers, stakeholders and the community. Supervisors and managers mustn’t abuse their authority. We expect them to delegate duties to their team members taking into account their competences and workload. Likewise, we expect team members to follow team leaders’ instructions and complete their duties with skill and in a timely manner. We encourage mentoring throughout our company.
14. ABSENTEEISM AND TARDINESS
Employees should follow their schedules. We can make exceptions for occasions that prevent employees from following standard working hours or days. But generally, we expect employees to be punctual when coming to and leaving from work.
15. CONFLICT OF INTEREST
We expect employees to avoid any personal, financial or other interests that might hinder their capability or willingness to perform their job duties. The employees cannot contact our clients/customers without prior approval of the competent authority and they cannot contact our clients/customers for job even after leaving the organization for a minimum of 2 years.
16. COLLABORATION
Employees should be friendly and collaborative. They should try not to disrupt the workplace or present obstacles to their colleagues’ work.
17. COMMUNICATION
All employees must be open for communication with their colleagues, supervisors or team members.
18. BENEFITS
We expect employees not to abuse their employment benefits. This can refer to time off, insurance, facilities or other benefits our company offers.
