1. Request to take a leave of absence

A Leave of Absence is a temporary break from studying. Once you have completed one or more subjects in your enrolled program, you can apply for a Leave of Absence.

A Leave of Absence can be taken as either six or twelve months. The maximum amount of leave you can take during your program is twelve months. Please note, you must submit your application before the relevant census date.

Withdrawing from all subjects or failing to register in subjects for the current term does not constitute Leave of Absence. Students who do not register in subjects for the current term of their program, and who have not applied for Leave of Absence, will be considered as having abandoned from program and may lose their place at the University.

Once your Leave of Absence is approved, we will send a confirmation to your student email.

2. Request to resume study after a leave of absence 

To resume studies after a Leave of Absence, students must email Student Advisor Team at least 1 month before the start date of the new term.

They will guide you through the necessary procedures. It is important to follow the instructions and enroll in subjects on the same date continuing students finalize their enrolments.

Students who have not returned within the specified timeframe after having approved leave will be regarded as having abandoned their program. In this situation, students must re-apply according to the normal application process and policy at that intake.

3. Request to resign from program

Resigning from your program is ceasing study and means you won't be a Western Sydney University student. Before resigning, you must email to Student Advisor Team to get advice. You may also find it helpful to discuss your options with them.

Make sure you lodge your application (link HERE) before the term census date to avoid academic and financial penalty.

4. Request to reapply after you have resigned

If you have officially resigned from your studies at Western Sydney University, you must apply directly through the Admission Centre for readmission. 

5. Request for Student Confirmation Letters

During the time at the University, students may need to confirm their status as a current student here. A student confirmation letter certifies student's course details and follows the ISB customized format.

Students can request this letter online via form HERE.

It is issued by ISB and will be available within 5 working days upon student's requested date. After the sufficient waiting time, students can pick up at Campus D, 196 Tran Quang Khai, District 1 Campus.

6. Request for Academic Transcripts

Transcripts feature a list of all the subjects you have completed along with the final marks earned in each subject at the time of ordering. We are unable to separate the transcript/ record, and not subjects are able to be removed including fail grades.

If you request an official copy of your academic transcript for Stage 1 subjects, you can lodge the online form HERE. The papers will be made available within 5 working days from the requested date. After the sufficient waiting time, students can pick up at Campus D, 196 Tran Quang Khai, District 1 Campus. 

For the results of Stage 2 units, you need to order via from Western Sydney University online system. Follow the instruction via link HERE

7. Request for Internship Letter of Introduction

Internship is optional. If you request the letter of introduction, you can request via the link HERE.

It is issued by ISB and will be available within 5 working days upon student's requested date. After the sufficient waiting time, students can pick up at Campus D, 196 Tran Quang Khai, District 1 Campus.

8. Request for Student ID Cards

If you request to re-issue your Stage 1 student ID Card, kindly follow in instruction at the link HERE.

To order Stage 2 student ID Card, please follow the instruction at the link HERE. Note that you can only order this card once you commence stage 2 study. 

9. Request for Assignment Cover Sheet

10. Request for Tuition refund

If you have overpaid the tuition fee, the excess amount will be credited towards the next term fee.

If you find yourself with remaining tuition upon completion of the program, you can request for a tuition reimbursement.

You can download the form HERE, complete the required fields, and sign the paper with a wet-ink signature. Please include a 2-sided photocopy of your citizen identification card. Submit these documents to the Student Advisor team at Campus D, located at 196 Tran Quang Khai, Tan Dinh Ward, District 1. 

It may take up to 15 working days for processing. The reimbursement will be deposited into the bank account provided on your form.

11. Request for Program Completion Letter

A course completion letter is a letter issued by Western Sydney University that confirms a student has completed the necessary requirements to finish their degree and is eligible to graduate pending final approval from the School Academic Committee.

You are only eligible for a program completion letter if you have met all the program requirements and have no fees outstanding or holds/encumbrances on your student record.
