ENROLLMENT ADJUSTMENT
You can add and change subjects before the census date of the term.
For stage 1
Important notes:
Please double check your study plan carefully to make sure you enroll in the right units.
You are free to choose the subject you would like to enroll in each semester, so make sure that you register for the correct courses as you are fully responsible if you register for the wrong course or have an excess/missing subject which may lead to delay in Stage 2 and graduation.
We can add new classes with new schedules if the number of students enrolled reaches the minimum number for the class to run effectively.
To balance the enrolments, if the number of students enrolled to the class exceeds the maximum number, we will process the enrolment based on the first come first served basis.
For stage 2
You are free to opt for any subjects you would like to take in the semester and will take full responsibility for that study sequence. When planning, you must:
Read the Course Structure thoroughly so as not to enroll in the wrong major subject as well as prerequisite subject rules (if any); AND
Read the Unit Offering Tentative before planning to avoid any delays in your study as we do not offer all stage 2 subjects for each major every term; AND
Make sure your subjects do not clash with each other
Withdrawing and changing after the census date
If you withdraw from a subject after the census date, you will still be charged fees for the subject/s and receive an academic penalty. The subjects withdrawn after census will be marked Fail Discontinued and also count as unsuccessfully completed in the low completion rate in GPA calculation.
The census date is published in our MyWSUVN page HERE
To withdraw from a subject or program after the last date to withdraw without academic penalty, you can complete the Discontinuation or Break from Studies Application through WesterNow.
Go on MySR > WesternNow > MY STUDY > Enrolments > Discontinuation or Break from Studies Application > Fill in the information.
If you are withdrawing after the census date due to extenuating circumstances with evidence, you can apply to Withdrawal without academic/financial penalty form through WesterNow.
> Contact Student Advisor team for procedures.
Extenuating circumstances
Extenuating circumstances are considered to be unusual or abnormal events or circumstances that are beyond your control. Your actions must not have contributed, directly or indirectly, to these circumstances.
These events or circumstances must not fully impact you until on or after the census date. This means the situation must have occurred either:
After the census date or
Before the census date, but worsened after that day or
Before the census date, but the full effect did not become apparent on or before that day
As a result of these events or circumstances, it must have been impractical/impossible for you to complete the program requirements, that is, you were unable to do any of the following:
Undertake the necessary private study required
Attend sufficient lectures, tutorials or meet other attendance requirements in order to meet your compulsory requirements
Complete the required assessable work
Sit the required examinations
Complete other course requirements because of your inability to meet the above
You will need to be able to prove your claim for extenuating circumstances by providing appropriate supporting documentation. Please see the supporting document for what is accepted.
Applying
You must complete a Withdrawal without academic/financial penalty form through WesterNow and lodge it along with supporting documentation that provides evidence of your extenuating circumstances to Student Advisor team.
You must submit your application within the final date of the teaching term in which you withdrew from the subject/s. If your application is received after the final date for submission, you will be notified in writing that your application is not eligible for consideration.
Applications will be assessed and processed by a specialist officer in the Enrolments Unit. You will be notified in writing of the outcome of your application.
Successful applications
If you select ’Withdrawal without academic penalty and remission of fees (tuition)’ and your application is successful, you will be withdrawn from the subject without any penalties.
Unsuccessful applications
If your application is not successful, we will send you an outcome letter to let you know the outcome of your application in writing.
If you wish to appeal the decision, you must lodge your appeal within 28 days of the date on your outcome letter. Once your appeal has been assessed, we will send you a letter to let you know the outcome of your appeal. The academic coordinator’s decision is final, and there is no further avenue of internal appeal available in relation to the same matter/issue.
