This section will focus on lead generation at Web Summit Rio, with some helpful advice and details of the various options available to Partners.
What is a "lead"?
By definition, a business lead is a person who is interested in the product or service you sell/provide. Lead generation is the process of gaining the interest of potential customers in order to increase future sales.
Company Scanning mode is a lead-scanning function that is controlled by the ticket manager. It can be enabled from the ticket managers dashboard for certain people within your organisation. All leads gathered by your chosen team members can be viewed in a single consolidated report.
Leads you scan using company scanning mode can be added to your company's mailing lists and more without breaching GDPR. As soon as a scanned attendee accepts your connection request, the connection becomes GDPR compliant.
When scanning in company mode, the attendee who has been scanned and accepted the connection request can be contacted by anyone within your organization. In contrast, when scanning as an individual, only the person who scanned should contact the attendee.
All leads gathered by your team can be viewed in a single consolidated report, which can be exported directly from the app at any time.
Some Web Summit partners allocate some of their tickets to clients and their own partners. To avoid any GDPR breaches and give your clients potential visibility of your leads, it's important only to grant company scanning mode access to your team members who are focused on lead generation during the event. As a default, company scanning mode is turned off for each ticket on your dashboard.
If you have any Executive or Chairperson tickets included in your contract, it is possible to grant access to company scanning mode for these ticket types also.
The Ticket Manager has the ability to grant access to company mode scanning to each ticket assignee.
Access can be turned on or off at any point in time directly through your ticket dashboard (Image below for reference).
If a ticket holder has signed into the mobile app before company scanning mode has been turned on via your ticket dashboard, they will need to log out of the mobile app and log in again in order for company scanning mode to activate.
Open the QR code scanner and toggle to switch between scanning as an individual or on behalf of your company. Attendees will receive connection requests once they are scanned. (Company scanning mode will open by default if the person has the feature enabled on the ticket level).
You can also add a note to follow up with the relevant information later. You'll see the note in the full report.
Your progress can be viewed in your company leads overview section. From here, you can also send yourself an email containing your leads list report. This file will contain attendees' information, as well as any notes you have added.
Your leads dashboard
Your leads dashboard shows the total number of leads your company has made at the event.
Each indviduals leads dashboard will show a different number beside their profile picture, indicating the number of leads that individual has contirbuted towards the companies total.
Exporting your leads
On your leads dashboard, you can send a full leads report to yourself via email at any time during or after the event.
Each individual with company scanning mode access will be able to access the full leads report.

Below are a number of other ways to generate leads during the event using the Web Summit Mobile App
This lead scanning function is availale to all attendees on the Web Summit app.
Once you scan an attendee they need to approve the scan on their app and they'll be added to your connections.
Your connections can be accessed from 'connections' in the main menu by clicking on your profile picture in the top left-hand corner of your app.
Each company profile on the Web Summit mobile app has a QR code that can be scanned to connect with that profile.
When an attendee scans the QR code they will be promoted to consent to sharing their information with that company.
QR code scans will appear in 'Leads' in the main menu.
What is a meetup?
Meetups are a chance to meet new people and make new connections or generate leads in informal settings throughout Web Summit Rio, both during the day on the show floor and as part of Night Summit.

During a meetup, you can use company scanning mode in the mobile app to generate leads on behalf of your company. You are welcome to join any meetup based on your company's target industries or communities by simply attending the time and location that is noted on the app.
If partners use the Web Summit mobile app to scan attendees, it is the partner's responsibility to ensure the attendee has been informed that their data will be processed in accordance with the partner's privacy policy and that the attendee understands why their personal data is being processed and what will be shared with them.

Alternatively, partners can avail of various lead retrieval packages from our third-party supplier, Zuant, which offers a ‘lite, classic, and pro’ package. Zuant packages can come with additional features and benefits such as customizable questions, and a dashboard on their cloud platform where you can track leads by each user. You can find out more details about their packages here and the difference between their services below.
If your core objective at our event is lead generation with the option to add additional questions etc, we would advise speaking to the Zuant team about the packages they have available.
