Onboarding form - An onboarding form will be sent to you by your partner success manager. Please complete it to help us gain a better understanding of your objectives at Web Summit. Once your company details have been submitted, your company profile will be featured on the Web Summit website and – when it’s launched closer to the event – the mobile app.
Please note, failure to complete and submit this form will result in delays in promoting your online presence at Web Summit and may result in exclusion from any additional contracted marketing perks.
August 21: Web Summit partner store opens.
The Web Summit partner store allows our event partners to purchase all the products and services required for their event activation.
September 15: Artwork submission
Submit the artwork for your stand using the artwork template through your artwork submission form provided to you by your partner success manager.
September 15: Network connectivity
If you have any additional connectivity requirements, we encourage you to fill in our network connectivity form. More information here.
October 9: Partner store closes
Please ensure to purchase any items you wish from our partner store in advance of this deadline.
October 9: screen render submission ( if applicable)
If you have purchased a mounted screen on the store, download your screen render template and submit your screen render using the form provided to you by your partner success manager.
November 3: Press Release
Deadline for submitting the partner press release form if you have any news to share. Please see our Media assets section here for more details.
November 10: Ticket allocation
Assign your allocated tickets to all attendees by this date to ensure they don’t miss out on our newsletter highlighting features or information on the event.

Step 2 : Download your artwork graphics template suited to your stand size. This is what the designer must use to submit your artwork. Please take note of stand orientation.

Our templates are made using Adobe Illustrator. The template is not accessible without this software. To make the most of your stand artwork, we recommend that a designer proficient in Adobe Illustrator work on it.
Each provided stand artwork template contains two artboards – one for each wall of the stand. It is highly recommended that your final artwork does not feature imagery, graphics or text that intersects across the walls. Due to printing alignment and processes, we cannot guarantee that these graphics would align perfectly.
Your individual company QR code will be provided to you by your partner success manager.If you choose to use the QR code provided by Web Summit, it must be placed in the allocated area highlighted in the template in order to meet accessibility requirements. If the QR code is placed incorrectly, it will be moved to the allocated position by Web Summit designers.

Suggested maximum screen size for 2m x 2m stand: up to 55”.
Partners are allowed to bring their own screen and screen stand onsite for setup at their exhibition booth. For insurance and operational purposes, mounting of personal screens on provided walls is not allowed, and we will not facilitate. Partners can hire screens and order screen mounting or a screen stand through our partner store. Please note if you bring your own screen the Web Summit team will not be able to assist in the event of technical difficulties.

Download your screen render template.
Please submit your screen render template through the form provided to you by your partner success manager by October 9.
Your screen render should detail where you want your screen to be positioned on your stand, including exact dimensions of the screen, which wall you would like the screen mounted on, and exact measurements from the edge of the screen to the wall boundaries.
We recommend discussing the screen rendering with your designer when working on the artwork for your stand.

Stands will receive standard carpet in a deep grey colour - anthracite - which matches the aisles.
Partners can purchase alternative colour options through our partner store. Provided build partners are not allowed to bring their own carpet.
An official event Wi-Fi network is provided for your internet connectivity needs, available to all attendees and throughout the entirety of the venue(s).
Ethernet cable: unless a preferred location is specified through a services placement plan, your network cable will be placed in the corner of your stand where the two walls join together. It is not recommended to pull the cable to a desired location as this can remove it from the network switch within your stand walls.

Stands are a fixed height of 2.438m (8’ 0”) or 3m (9’ 10”) for 4m x 4m stands. No above-stand banners are permitted as part of this package.
The depth dimensions of your stands are determined by your contractual agreement. Please ensure your design team complete the keyline graphics in the link above. All activations should remain within the dimensions of the allocated space.
Please refer to the site plan for your stand orientation, and indicate the left and right walls artwork. Web Summit branding will appear on end caps.
Cleaning packages are available to purchase from the Web Summit partner store.
As part of its 2030 Sustainability Strategy, Web Summit strives to be a Zero Waste event. As such, we have taken a zero-tolerance stance for any single-use plastic or single-use promotional items such as leaflets and flyers onsite. Web Summit would appreciate your support in this regard to ensure the event is as sustainable as possible. Please see information on Merchandise and sustainable options for swag here.
We encourage our partners to look at more sustainable alternatives when it comes to promotional items and swag. As such, we encourage partners to avoid any kind of plastic.
Web Summit has long supported the UN Sustainable Development Goals (SDGs) and is committed to advancing their progress.
The cost of disposing of any abandoned non-reusable or non-recyclable waste materials will be billed out to the persons responsible at a minimum rate of €1000 by the event organiser, based on the volume and type of waste generated, at the discretion of the event organiser.
We are asking partners to, where possible, repurpose or reuse all other waste materials which cannot be recycled, or dispose of those materials through their own waste disposal systems.
Cardboard and recyclable plastics: Any recyclable plastic and cardboard waste that builds up on your stand should be separated clearly and left for collection at your activation at the end of each day.
Fines: Partners and contractors who abandon materials or do not manage the disposal of their waste in accordance with the venue’s policies will be billed post-event by the event organiser, based on the volume and type of waste generated, at the discretion of the event organiser.
It is not allowed to bring your stand artwork home after the event.
No other events can be promoted at Web Summit by the partner. Including on the stand artwork!
Access to your booth is possible from the opening morning –Tuesday, November 14 from 7.30am. Please note you will need your Partner ticket to get access at 7.30am. The conference floor will open for General Attendees from 8.30am on Tuesday, November 14.
FoodStory is the Partner catering supplier for Web Summit 2024. Images of some of the items available can be found here.
If you require catering services, please reach out to your Partner Success Manager and they share the full menu with you and will facilitate an introduction to the supplier.
The deadline for all catering orders is October 13th.
Unfortunately, we will be unable to accept changes to artwork after September 15 2023. After your artwork has been reviewed and approved by our design team, we will send it to print and it cannot be changed after this. We will be unable to send any artwork for printing after the September 15 deadline.
All activations must remain within the dimensions of your allocated space.

Your Partner Success Manager will confirm your attendee-facing booth number in an email approximately one month prior to the event.

Mounting a screen or interfering with the walls of the stand are not permitted.

Single Use Plastic: If you are bringing any merchandise or SWAG to the event, please remember Collision have a zero-tolerance stance against single-use plastic on-site. This includes flyers, sweet wrappers and plastic bottles. We have examples of recommended swag can be found here
Pop-up banners are not permitted at Collision
Hotspots or rogue networks of any kind are completely prohibited and against our T&Cs. EG: Portable Hotspots, MiFi Devices, iOT Beacons which provide WiFi capabilities
All exhibitors must also abide by Web Summit’s anti-harassment policy.
