It is covers a range of uses - from archive to sales pitch and therefore must be segregated in a way that both protects the originators intellectual property (although the primary protection is the trust level within the participants) and yet raises their interest level enough to make them want to participate. (And also satisfies that interest, if the proponents want continued participation for other projects.)

10.1 The "Homework" package.
This is the complete indexed, online and offline data package created by the project champion for reference and archiving. It is not intended others to use but must be quickly made available if required. Because it contains all of the owner's work it should also be secured.
10.2 The "Relevant" package
This is a subset of the homework that is actually being used as the basis for the proposal and invitation to the pm201a session. It may contain a lot of information which may not be shared at the session unless requested and so is not packaged for "shipment" to all invitees. It should however be readily accessible at the session if needed.
10.3 The "Presentation" package
This is typically the "Elevator Pitch" and the "30 minute presentation" which is used to convince session invitees to attend. As some of the invitees may choose to decline the invitation due to conflicts of interest or such - the package needs to tread a fine line between being interesting vs. too revealing. It will generally be sent to any interested party - who may forward it to a friend and so on. (If a proposal sounds interesting, one can expect it to "go viral" and perhaps get passed around a lot faster than might be expected and to a lot wider audience than planned. For a business idea in the making, this is not necessarily a good thing.)
10.4 the "1st Meeting" support package
This is a the minimum and the maximum that needs to be brought to the 1st meeting "brainstorming" session. There are opposing needs to be considered here;
- it is important NOT to overwhelm the attendees with volumes of data that they cannot possibly read, let alone understand during the meeting. (see 10.5)
- it is important not to be left saying "I don't have that with me" at a critical point in the meeting.
Therefore - separate the things that are "handouts" (electronic - of course) from the things that are available online or in hardcopy (hardcopy?? - what rock have you been under!?!? The only "hardcopies" that should come to a meeting is a physical prototype and your schwag- get with the tour man!)
10.4 the "1st Meeting" handout package(s)
These are updated sub-sets of the data package intended for specialists at the meeting. It may or may not be a good idea to pre-send such packages; while the specialists may be able to get a head start by having this information - it may also work against the creativity of the meeting by causing participants to arrive with premature conclusions and solutions which they may tend to defend rather than develop.
