for pm4g projects only;
[1] create a new project number (a.k.a. a work order or wo)
[2] if the project involves a significant amount of documentation and new people - create a new gmail user under the project name (as has been done for the hri05k and the hri07e projects) and start clean. Otherwise create a shared folder in your own Google Drive.
(Warning - Google drive limits file collections** to 5Gb for personal use so be prepared to migrate to a Google Apps account as the project matures - or to some other commercial platform - which could be very tricky if too many Google Pass get entwined into the project workflow.)
[3] <more>.........................
[**] Don't upload unnecessary files
- don't use docs for pictures and videos (use private photos and your own private YouTube channel.)

Note that only synced or uploaded files take up storage space. Files shared with you and Google Docs (like a Google document or spreadsheet) don't take up any of your storage space. Items that don't count toward your storage will show as "---" in Google Drive:....."
