Google Document Hints

A few quick notes about Google Docs, Slides, Sheets, Forms, etc.

  1. If you are signed in with your gmail account, you can edit any document that you own or have access to. If you are not signed in with gmail, you will only be able to view the documents instead of editing them.
  2. If you do not have access to edit a document (remember- you would be changing the owner’s original), simply go to File and choose “Make a Copy.” Rename the file and begin making whatever changes you need!
  3. If you keep requesting to “access” a document from the owner, and they only allow you to “view” it, they aren’t trying to be rude. Remember, that if they allow you access and you edit the original, it will change their original content!
  4. There is no need to “save” on any Google doc, slide, image, etc. It will automatically save every change as you edit the document.
  5. If you share access to a document, everyone will be able to see the changes as soon as you type them (almost looks like a ghost!).
  6. You should be able to click on any blue/hyperlinked item, and it will take you directly to that item.
  7. If you look in the upper right hand corner, you can see who is currently editing/looking at documents. No, it’s not a ghost typing :).
  8. If you want to share a document you create, hit the blue “Share” button (upper right hand corner). You can share your docs with specific people (enter their email addresses under “People”) or choose the Green “Share a Link” button. If you just want people to be able to view the document, choose “Anyone with link can view.”
  9. Remember- if you have the sharing settings as “anyone with the link may edit,” anyone will be able to change the content of your document! If you want specific people to be able to edit a document, enter their names under People and choose “Can Edit” (you also have “Can View” and “Can Comment” as options).
