Thank you for your daily work and commitment to our learners and our community.
We have accomplished so much over the past eight COVID months — here are a few of our immense accomplishments:
We removed students from in person teaching and clinical rotations and transitioned to a virtual medical school.
We then successfully restored clinical education.
We became a testing center for USMLE examinations.
We went through a virtual LCME site visit.
We had a virtual Match Day and Graduation and are planning a virtual White Coat Ceremony.
We onboarded and oriented a new class of residents and fellows.
We experienced and acted on issues of racial unrest and social injustice.
We have maintained crucial services such as our anatomy bequest program.
We have supported our students as they have struggled with the stress and exhaustion of Covid.
There is much more including the personal accomplishments made by all of you. Take time to reflect and feel pride for all you have accomplished both personally and professionally. Your work for OME and the medical school is appreciated and valued.
Unfortunately the Covid pandemic is not going away anytime soon so prepare for the long haul. Life will continue to be difficult for “a while” and it is uncertain for how long “a while” will be.
I would offer a few recommendations:
Daydream about what the first things you will do once the pandemic passes.
Give each other the benefit of doubt when conflict does arise.
Cut yourself some slack - accept “good enough”.
Take time for yourself and give yourself some grace.
Stay connected in whatever way is most meaningful to you.

The LCME Survey Report is expected to arrive Dean's office on Monday, November 9th. This report will provide greater detail on each Element, with recommended outcomes (Satisfactory, Unsatisfactory, Satisfactory with Monitoring). The Medical School will then have 10 business days to respond to findings, responses, and any factual errors.
Initial responses have been prepared, based on the Exit Report information that was received in follow up to our Site Visit, which took place virtually on July 15-16, 2020. The Exit Report summarized the Team's primary findings based on their impressions from our submitted materials and interviews during the Visit itself. While the Survey Report may differ from the Exit Report, it is expected to be representative of the most likely areas for findings from the LCME.
The LCME review process has fallen behind schedule, and final accreditation status for all virtual site visit schools will be determined by the LCME at their February meeting.

OME Mail: Mail for your program needs to be picked up at least once every two weeks - if not more.
Special Project: The Office of Assessment and Evaluation has received an Academic Investment Education Program (AIEP) for their project, Standardizing Assessment in Scientific Foundations Medical Education at the UMN Twin Cities and Duluth Campuses through a peer-review process. This award will be given over a three year period. The grant will be used to create an item bank of 10,000 questions.
The item bank is informed by a table of specifications (TOS) for the content areas and assessment domains of years 1 and 2 pre-clinical education. This table was derived by 1) reviewing all of the content of the TC and DU campuses pre-clinical scientific foundations courses; 2) reviewing course syllabi, 3) identifying core content from the USMLE Step 1 examination; and 4) utilizing the framework for the domains of knowledge from the Aquifer Sciences Initiative. This provides evidence-based teaching and learning resources that promote effective cognitive integration of the basic and clinical sciences and productive and collaborative teaching by basic and clinical science faculty to ensure learner’s foundational basic science knowledge is effectively organized .
We will recruit, train and pay senior medical students and graduate students in the required areas of expertise as indicated in the TOS to write the multiple-choice questions. These participants will be trained in the workshops as indicated above and will receive support and individualized instruction from the team of the current proposal (Violato, Dale, Diebel – see Appendix D). When these items are written they will undergo technical and editorial review to ensure that they conform to the highest quality. We will need to write 10,000 MCQs over three years: 1) 3000 in the first year, 2) 4000 in the second year, and 3) 3000 in the third year as identified in the major areas of the TOS. We will hire a .5FTE project manager to organize and recruit medical and graduate students and edit and review the items for technical quality.
A&E Team Presentation: In a recent UME All-staff meeting, each unit shared presentations showcasing each member of the team, on what they do and the "interesting projects" they are working on. Unfortunately, only UME staff saw these presentations. In this edition of The Pulse, ALL OME staff can view this great presentation from the A&E team. I hope to get a hold of some of the other unit presentations for future Pulse editions!
Open Position: GME recently posted (with approval) the Accreditation Associate position. It is a full-time permanent role and they are accepting applicants both internal and external to the University.
This position is responsible for managing affiliation agreements (50%), accreditation activities (40%) and other duties (10%) for GME across the institution. Interested individuals can go to the UMN job site (https://humanresources.umn.edu/content/find-job) and search for requisition # 337826. If you know of anyone looking for a new role that you think would be a good fit, please pass this position along and encourage them to apply.

...in Minority Affairs & Diversity: Mary Tate and James Cooper have moved out of OME and into the Office of Diversity Equity and Inclusion under Vice Dean Ana Nunez. The Office of Learner Development is currently looking for a part time person to fill the role that James occupied.
My sincerest apologies to Monica for not including her in the last edition of the Pulse. I feel like she has already been with us for years and she just started in January!! And she is on MY (Marianne) team!
Monica Rogers started in January as an Executive Administrative Assistant/Coordinator on the Curriculum team.

Three of our amazing interns will be graduating in December and leaving us to pursue their post college careers. They have all done great work for many of the areas in OME and they will be missed! Elizabeth (Liz) Schwartz (schw2028) - Liz has been with us since January and worked primarily with CPD and with Course Management on the Curriculum team. She is a trained Chief Proctor and assisted A&E with proctoring many exams including the STEP exams this summer. She also worked on projects for RPAP, Mort Sci, Admissions and other areas within OME. This is what a few of our staff said about her work with us:
UME: "Liz Schwartz provided set up and material prep for in person Ed Council meetings while on campus, and is also making sure that Ed Council minutes and presentation materials are accessible online. We've been grateful for her help both in person and virtually!"
Curriculum: "We are so grateful on the Curriculum team for Liz! Her attention to detail and eagerness to help was such a relief as she helped the team meet a looming deadline on a year-long project for AAMC. Liz was always eager to learn more! I so appreciated Liz's willingness to be flexible - whether she was helping to distribute scrubs in-person or enter endless data into MedHub - Liz adapted to whatever the team needed. We wish Liz the very best as she finishes up undergrad and graduates! Thanks for all your help, Liz! "
RPAP: "The RPAP/MetroPAP program would like to extend a huge thank you to Liz for her work with us this past year. Liz said yes to everything we sent her way and often helped us with creating and updating documents in a short time frame to keep us moving as adjustments happened through the spring, summer, and fall. Mortuary Science: "Liz helped MortSci implement a brand new procedure. Her input helped us improve our plans and better execute our vision."
Assessment & Evaluaton: Liz also worked as a Chief proctor and was invaluable member of the USMLE STEP exam team. Thank you for shivering through those all-day exams and for driving those long distances - I wish you could be with us longer but wish you all the best in your next adventures!
Liz plans to pursue a career in event planning after graduation and when event planning positions start to open up. She will be amazing! We wish you the best Liz!
Sarah Fochs (fochs007) -Sarah has been with us since September of 2019. She has worked primarily with Mark Hilliard on very high tech projects that have made a huge impact in OME and other departments within the Medical School, and with the Admissions team on various projects and during Interview Days (when we were on campus). She worked on projects for A&E and is a trained Chief Proctor that also assisted with the STEP exams last summer. What our staff says about Sarah's work:
OME-IT: Sarah has done outstanding work in a variety of very high tech projects and has been invaluable to Mark Hilliard and other staff in HST. Her work is done with much care and thoughtfulness. Sanna Rizvi (rizvi044) - Sanna has been with us since September of 2019. She started working on video editing projects for Mark Hilliard, and worked on many different projects for A&E, Admissions, Mort Sci, RPAP, and GME. She also is a trained Chief Proctor and has proctored many exams onsite and virtually. She was a great asset to OME as indicated in the comments below.
RPAP: "The RPAP/MetroPAP program would like to extend a huge thank you to Sanna for her work with us this past summer and fall. Sanna worked on entering information into our brand new sites database, which was key to collecting historical information in one place that is easily accessible to our team. Best wishes to Sanna on her graduation and next steps!"
Mortuary Science: "Sanna was a critical component of the MortSci Fall 2020 remote set-up. Without her, our Fall Canvas sites would not have been prepared to the level they were. "
GME: "Sanna worked with the Graduate Medical Education Office to help design the GME Orientation website. Sanna's innate creative ability and keen eye for visual harmony helped her excel on the project. She made aesthetic and organizational changes to create a user-friendly experience. Her composition skills are clearly shown in the arrangement of text and visuals serving both an artistic and functional purpose. Sanna is an active listener who clearly communicated what she was building and how it met the project’s goals and vision. The Orientation website will continue to help future trainees navigate training and resources. She is a proactive, resilient and skilled partner for GME. Assessment & Evaluation: "Sanna served as one of our main Chief Proctors for Shelf exams this summer and has been extremely reliable while working from New York and Florida, but my fondest memory is of her helping Claudio and me with our first One-Button Studio videos last fall when she was new to the Medical School and we were preparing for the Course Directors Retreat in Hinckley. Thank you, Sanna - your good humor and many talents will be missed!"

Two interns were recently hired to fill positions vacated by graduating students - Niloofar Sohi and Zixin Chen will join us on Nov. 9th. More information on Niloo and Zixin in the next edition of The Pulse.
The interns continue to work remotely and have very flexible hours. If and when you are interested in requesting assistance for short-term or long-term projects or for onsite events/projects please complete the “Request for Remote Work” form (please do not use the old form). Contact Marianne Watters if you want a student designated to work a number of hours/week in your program.
This is a new section in The Pulse that is temporary. The hope is that it will provide ideas for coping during this crazy time of "virtual working", resources for well-being, and maybe a little comic relief. Please think about what you would like to add to this section in the January/February edition of the Pulse - and put it in the newsletter submission form.
Maria Zbarouskaya (Student Intern): "I've learned a bit about troubleshooting due to some technical issues. Zoom has been effective for training purposes. Social distanced gatherings in GME have helped me feel more connected with the staff. Spending time outside and away from screens is important. Seeking a work, school, and play balance is important for mental health even though our computers are right there and we could be constantly busy."
Addie Irvine: "There are a bunch of really fun "virtual 5K" runs that you can sign up for right now! I (Addy) just ran a 5K in my neighborhood, and I am planning to sign up for another in November. If anyone wants to join me and run the same day and have a celebratory post-run Zoom, email me! I did this on 10/24 with a bunch of folks from across the country, and it was really great to have the team support to actually do it." [Picture to the right]

Tami Brown is on a group email list from Stress Busters and recently shared (with the Admin team) an article, "You're Overwhelmed (and It's Not Your Fault)" - from Mindfulness Magazine, and a 50 minute On Being podcast, "Shelter for the Heart and Mind" (and unedited interview - 111 minutes). Both were fantastic and worth passing on!

Maija Braaten: "Working from home has led to some very positive routines for me and my family. We look forward to taking a designated lunch break in the middle of the day to reconnect from distance learning and working in my home office (my son is in 7th grade). When it isn't too cold, we also love taking walks around our neighborhood parks and the lake in the afternoon. My son and I have also enjoyed trying out several new recipes that we probably wouldn't if our busy schedules had not been changed. Smitten Kitchen Everyday and Charleston Receipts Repeats cookbooks are our go-to's!"

Marianne Watters: "In the first two weeks of the shut down I found an amazing deal on a little workstation and office chair through a Facebook Garage Sale post that has made all of the difference for me; however, I really missed my standing desk! As luck has it, I was watching this great "Home Ergonomics for U..." webinar last month and got some great tips on how to set up an ergonomic work station using items around the home. They also showed some relatively inexpensive office items for purchase.
This webinar also had many other tips on how to take care of yourself including general wellness exercises, safe outdoor adventures, etc. I highly recommend watching this webinar - it was life changing!"

In spite of stability issues and a lack of reliable client support, this team has worked in a diplomatic but very persistent way to partner with MedHub toward solutions, which is so important when you have a huge investment of time and money in a product and not a lot of other vendor options. But finding those solutions is an often thankless job that isn't in any of their job descriptions. "I would like to take a moment to offer a special “thank you” to Ashley Mishek, our office manager and student services professional, for all she has done to help our program grow and remain strong as we face challenges posed by COVID. Over the past several months, Ashley has worked tirelessly (remotely, from home, with two little ones!) to develop uniform Canvas (i.e., course management) websites for each of our classes. She has helped onboard all our new instructors and has taught them how to use technology to teach remotely. Ashley also created a standardized course syllabus template for all our classes, and has expanded and integrated systems for doing work with greater accuracy, efficiency, and simplicity. In addition to this work, Ashley also serves as the primary academic adviser to all our students, responds to our email and telephone inquiries, handles ordering, maintains our website, and the list goes on… (and on!) In sum, Ashley is highly dedicated to our program and all the stakeholders we serve, and without exception ensures that our office operates in a professional, productive manner at all times.
