About The Secretariat

What is the Secretariat?

The Secretariat Department, with its various departments, councils, and committees is tasked to help the Executive Secretary oversee the secretariat affairs of the Sanggu-SHS. It is composed of the secretaries of each Sanggu-SHS council, namely the Executive Council, OP, ACO, AthC, CSO, and CSC. Additionally, the secretariat provides training opportunities and resources to its members, ensuring continuous enhancement of their skills and capabilities in executing secretariat functions guided by the OSA processes.

Our Mission

To streamline and standardize processes to enhance efficiency and communication within the Sanggunian and among the student body, bridge the gap between students, the Sanggunian, and the Office of Student Activities by developing transparent relationships and simplifying administrative procedures. The Secretariat Department is dedicated to being proactive, meticulous, and responsive to the needs of the diverse student body, ensuring that every student can thrive and contribute to the ASHS community.

Our Vision

In order to serve the entire student body and promote accessibility, empowerment, and inclusivity, the Secretariat hopes to develop a student-focused Sanggunian. Additionally, it hopes to mentor and develop the next generation of student leaders and create a strong, welcoming community where all students are made to feel important and heard.

Department Responsibilities and Services

Executive Secretary of the Sanggunian

The Executive Secretary mainly oversees the management of files and the standardized processes of the Sanggunian, as well as the internal and external secretariat affairs within The Secretariat. They handle the official ASHS Sanggunian email account, compile all council updates, consistently track all internal documents, such as forms, minutes, and directories, and create standardized templates for the convenience of the Sanggunian and student body. Lastly, they ensure a professional and transparent relationship with the Sanggunian Executive Council, Office of the President, Student Activities Coordinator, and other necessary administrative bodies.

External Affairs include the handling of partnerships with other bodies, handling of reservations and other program logistics for projects or events, and handle the attendance of OSCCs. They handle the Minutes of the Meeting (A02) in meetings with external partners.

Overall Secretaries handle both the External and Internal affairs of a Committee, Department, or Council.

Internal Affairs include the human-resource aspect of a Committee, Department, or Council to ensure the overall wellness of the constituents. With this, they are in direct control of the CHRF (Council Human Resources Form) that processes Leave of Absences (LOAs) and Resignations. They handle the Minutes of the Meeting (A02) in meetings within the core.
