Provide your school's District Borough Number (DBN), school name,and your school's Superintendent name
List all school Language Access Coordinators (LAC) that are designated in Galaxy
Indicate LAC's job title
Indicate if the LAC attended a Language Access training
Tips for information gathering:
Surveys are a great way to find a parent’s preferred languages
The Emergency Contact cards asks parents' preferred language for written and oral language communication. This information can then be updated into ATS, which will then update the RAPL
RCPL (Parents Preferred Language Report)and RADL(Adult Information Report) shows in ATS a parent’s preferred written and oral language for communication
Download your school's RCPL report from ATS
Copy and past the highlighted section into your LTI report
Please make sure to include all the languages in the LTI report
Please list all foreign languages spoken by your school's staff members who utilize their language skills to communicate with families
Please indicate how many staff speak each language
1. List the documents your school typically disseminates every year that require translation, roughly when they will be distributed to families, and plans to translate the documents.
In each row of the grid, list newsletters, letters from the Principal, flyers, handbooks, etc.
Provide month or distribution frequency of the mentioned document
Describe the procedures and resources your school is planing to utilize to ensure translation. Some examples can include, but are not limited t0: utilizing bilingual school staff, Translation and Interpretation Unit, using existing templates from the T&I InfoHub, using contracted translation vendor (Lingualinx), etc.
2. List the formal face-to-face meetings your school will typically have with parents throughout the school year, such as parent-teacher conferences or curriculum nights, when they will occur, and plans to provide interpretation at those meetings
In each row of the grid, list Parent teacher conferences, family workshops and other school events involving families
Specify if the event would be a virtual meeting, or if it is not determined yet.
Provide month or frequency of each event
Describe your school's procedures and resources that will be utilized to ensure interpretation services for non-speaking English families. Some examples may include, but are not limited to: utilizing bilingual school staff, using the over-the-phone Interpretation service, , using contracted Interpretation vendor (Geneva Worldwide), etc.
3. Describe your school’s communication strategy to reach limited-English-proficient families in the event of a school emergency.
Describe your school's procedure for reaching all LEP parents in the event of a school-wide emergency
Describe your school's procedure to quickly reach Limited-English proficient (LEP) families in the event of an individual student emergency
Describe how the school-based language Access Coordinator will turnkey the language access information to the school personnel
Describe what school personnel will be trained on policies and procedures
Describe how will compliance be monitored to ensure that all relevant school personnel are aware of, and will follow, the procedures
Describe how your school will make certain that parents who cannot communicate in English will be aware of their right to receive information in their own language. Examples include, but are not limited to:
Translated signage
Brochures/flyers/letters shared with parents
Any parent engagement events where this is expressed (i.e. PTA meetings, international parent’s night, etc.)
Describe how your school gathers feedback from the parents about the language assistance provided during the school year
Describe how your school surveys parents that prefer a language other than English
