Workspace (furniture, office, etc.)
Name plate
Keys (if applicable)
Please submit a dynamic form for your new employee's badge.
As their supervisor, you will set the permission levels (most often by mirroring another Rio account).
You will need a picture of your new employee for the badge. Your new employee has been instructed to email this photo to you.
Access the employee badge request dynamic form through College Public Safety.
Review the performance standards for the position and set expectations for the role.
Create a list of tasks to have ready on their first day in the office.
Be prepared to discuss basic procedures, preferred contact methods, and request processes.

Please prepare your new employee’s workstation and stock with basic supplies such as pens, paper, notepads, a stapler, etc.
If your new employee is starting virtually, please ensure they have equipment such as a laptop and/or VPN access.

This will help ensure proper mail delivery.

Meet with your new employee after their first orientation day.
Plan for enough time to discuss:
Their role
Their probation period (if applicable)
Expectations and performance checkpoints
ELC trainings
Log into Human Capital Management (HCM) and set your new employee's schedule.
They will be able to enter their time and labor once you do so.
Help to break the ice with your new employee and their colleagues by introducing them to the rest of the department on their first day.
Consider an icebreaker activity to allow for full team participation.
Alleviate some of the anxiety your new employee may be feeling by showing them around your department area.
This includes pointing out areas of interest, like:
Break room
Restrooms
Printer and copier
Refrigerators
Emergency exits
Have a conversation about time and labor, including:
Work hours
Overtime and comp time
Summer hours
Sick time
Rest breaks/lunch
Explain the procedure for reporting absences and tardiness, including how to contact you or others.
Supervisors should set-up their employees work schedule in HCM in order to accurately monitor their employees' time.
Please note, this schedule may change during the summer months and should be adjusted accordingly.
Explain how your department requests vacation time.
This may include a discussion on department coverage for the year.
Please make sure to also discuss any peak times during the year where vacation may be limited due to increased workload for the team.
Get them familiar with what types of resources your department uses to perform daily tasks.
This might be resource binders, policy manuals, or sites within Rio Salado's and MCCCD's employee portals.
This is a good time to show them the Employee Learn Center for their acknowledgments and trainings, as well.
Some roles in the college may require personal stationary, like business cards and letterhead.
Have your employee visit MCCCD's stationary site to order these. You may need to consult your department's budget to ensure funds are available.
Meet with your new employee at the end of their first day in your department to answer questions and provide any clarification they may need.
Make sure they understand:
Their schedule
The scope of their training
When and where they will report to work the next day
