15. Introducing Multi-Factor Authentication (MFA) for Moodle Contents
Starting from the 2026 Academic Year, we introduce Multi-Factor Authentication (MFA) for Moodle logins to enhance security.
What is Multi-Factor Authentication (MFA)?
Multi-factor authentication is a security system that requires more than one distinct method of authentication from independent categories of credentials. Typically, it combines two or more of the following:
① Knowledge: Something you know (e.g., password, PIN, security questions).
② Possession: Something you have (e.g., verification codes sent via SMS/Email, Authenticator apps).
③ Inherence: Something you are (e.g., fingerprint, facial recognition, voiceprint).
MFA on Moodle
Moodle will now require a combination of Category 1 (Knowledge) and Category 2 (Possession). Specifically, after entering your ID and password, you will be prompted to enter a unique verification code.
Please read the following instructions carefully regarding the setup process and login procedures before accessing Moodle.
When you log in to Moodle for the first time in the 2026 academic year using your ID and password, a setup screen for Multi-Factor Authentication (MFA) will be displayed.
While there is a grace period during April allowing log in using only your ID and password, MFA will become indispensable starting in May. Please click "Set up Multi-Factor Authentication" to open the "Multi-Factor Authentication Preferences" screen .
For Multi-Factor Authentication (MFA) via email, your registered email address in Moodle is automatically configured and cannot be edited. It will set as follows:
・Undergraduate Students: Chiba University Gmail (@student.gs.chiba-u.jp)
・Graduate Students, Faculty, and Staff: Chiba University Webmail (@id.chiba-u.jp)
Even if you do not set up an Authenticator app during the grace period, you can still authenticate by receiving a 6-digit verification code sent to the email address listed above.
Access Restrictions for Chiba University Webmail from Off-Campus Networks
Accessing Chiba University Webmail from an off-campus network is restricted. In addition to your User ID and password, two-step verification via Multi-Factor Authentication (MFA) is required. We kindly ask that you use an authenticator app for verification whenever possible.
Click here for information on connecting from off-campus networks.
(For inquiries regarding off-campus connections, please contact the Information Strategy Organization.)
To set up and use the Authenticator App for authentication, you must first install an authenticator app on your smartphone. The following steps assume that the app has already been installed.
To begin, click "Setup" under the "Authenticator App" section to open the setup screen .
On the setup screen, please follow these steps .
① Enter a name that identifies the device where you installed the authenticator app (e.g., "My iPhone").
② Scan the displayed QR code using your authenticator app.
③ Enter the 6-digit verification code generated by your authenticator app.
Once the setup is successfully completed, "Active" will be displayed on the "Multi-Factor Authentication Preferences" screen, and you will be able to use the authenticator app for authentication .
※ About Authenticator Apps
There are various authenticator apps available. As examples, we have provided screenshots of "Google Authenticator," which can be used with your Chiba University GWS account, and "Microsoft Authenticator," which can be used with your M365 account .
Since Microsoft Authenticator also displays your login ID, it is highly recommended if you manage multiple accounts on Moodle.
Once the grace period has ended, you will be required to use MFA when logging in to Moodle. Specifically, after entering your ID and password, a screen will appear prompting you to enter a verification code.
Please note that even within the grace period, MFA will be required immediately after you have set up an Authenticator app.
If you have already set up an authenticator app, please enter the verification code displayed in the app. The screen shown to the right will appear after you enter your ID and password.
By checking the box "Trust this device" below the code entry field, you will be exempt from two-step verification for the period specified when logging in to Moodle from the same device. (Note: You will still be prompted for two-step verification if you attempt to log in from a different device or environment.)
Note: This screen will be displayed in Japanese even in the English version.
If you have not set up an authenticator app, click "Receive code via email." A verification code will be sent to your registered email address, and the screen will change to the authentication page. Please enter the code you receive.
Note: This screen will be displayed in Japanese even in the English version.
This concludes the instructions for setting up Multi-Factor Authentication (MFA) on Moodle and the login procedures.
To change your authenticator app settings, click on the menu in the top right corner of the screen and navigate to Preferences > Multi-Factor Authentication Preferences to open the settings page.
Additionally, if you change your smartphone model, you will need to reconfigure the authenticator app on your new device. In this case, please follow the setup process again from the Multi-Factor Authentication Preferences screen.
