All Sport Hallam Clubs are required to complete an Equipment Inventory as part of an annual task.
Please use the Equipment Inventory Template that is saved in your clubs Google Drive Folder.
You will be able to find this by - Google Drive Folder - 2025/26 - Development Plan - Copy of Equipment Inventory .
Complete the spreadsheet with as much detail as you can regarding the equipment your club has access to (this includes items that have been purchased from both the club account & Sport Hallam).
There is an example using a ‘football’ as an item highlighted in grey on the spreadsheet to help you understand the type of information that is required.
Please populate every cell on the spreadsheet , if you are not sure you can put ‘N/K’. If it is not applicable, please put ‘N/A’.
Please do not leave the cell(s) blank otherwise we will assume this has been missed.
Ensuring a comprehensive and up-to-date Equipment Inventory is important so Sport Hallam are aware of what equipment your club has, but also so club members are aware of what the equipment your club have, the condition of it, knowledge of where it is stored and a greater understanding of what equipment the club may need in the future. All very important info for us all (staff and students) to know.
We are aware some clubs may have very little equipment to log and keep track of, for others this may be a more extensive task. If you do currently have a basis to build from then please do transfer (and review) any previous data onto the most recent up to date copy of the equipment inventory. Please ensure if you are transferring any data from previous forms, to ensure the information it double-checked and valid. There is no point stating the club has '10x balls' each year, if they do not, as an example.
Completing this task during the summer as part of your Club Development Plans will save you time during the academic year. We appreciate this is admin work for the Executive Committee but hopefully you will the importance of this and how it will help every club moving forwards.
From 2025/26 academic year any clubs who have not completed the above task and stored an up-to-date copy of their Equipment Inventories in their Google Drives could have an impact on the potential funding your club receives. To reiterate, this task is an annual requirement for all clubs.
Final reminder: If/when your club receives new items or equipment throughout the year, the new items will need adding to the inventory.
