A Club Sport annual requirement is for committee members to complete a Financial Forecast & Tracker as part of their Club Development Plan.
These documents should be completed during the summer and meet the deadline of 17th August 2025. Completing these documents will help support committee members to ensure they have a solid foundation for the upcoming academic sporting season.
Information below will help to explain the Finance Forecast & Tracker task in more detail.
Getting Started
To begin with you should be able to find your Club Development Plan, Financial Forecast & Equipment Inventory documents saved within your clubs Google Drive Folder.

The Document
The Financial Forecast document has 12 tabs which you can see along the bottom of the spreadsheet. These tabs include;

Health & Safety
Equipment and Other.
Master Sheet
Add in your club's account balance to cell B4 'September Account Balance' on the Master Sheet.
You will be able to access your Club Account balance by logging into the Team Hallam site here: https://www.teamhallam.org/
Guidance on using the finance portal can also be found on the Committee Zone via Club Finance - Finance Portal.
All other areas of the Master Sheet will be populated by completing information on the remaining tabs.
Income
There are 2 columns on this tab 'Forecasted Income' & 'Actual Income'.
Forecasted Income - this is the amount of money you plan on receiving within the upcoming year. Examples of such income may be via club sponsorship, products via the Club Account or external funding streams. This should be completed during the summer months to help plan ahead.
Actual Income - this is the actual money that you receive throughout the year. Every time the Club Account receives a payment this should be recorded under the Actual Income column. This should be completed throughout the year to help track your finances.
By completing both of these you will be able to compare the income you believed the club would receive vs what you actually receive.
Expenditure - all remaining tabs.
Now you are required to complete a similar task to what you have achieved on the 'Income tab' but for the remaining; Facility Hire, Transport, Coaching, Competitions, Officials, Kit/Leisurewear, Health & Safety, Equipment & Other tabs.
The difference between the income tab and the remaining tabs is that you will be stating what the Club Account is planning to spend money on, instead of receiving money.
Forecasted Spend - this is the amount of money you plan on spending in the upcoming academic year i.e. an educated estimate. This should be completed during the summer months to help plan ahead.
Actual Spend - this is the money that you spend throughout the year. Every time the Club Account purchases an item, this should be recorded under the Actual Income column. This should be completed throughout the year to help track your finances.
Please complete all planned expenditure on the 'forecasted spend' column during the summer months under the most relevant tab. You are responsible for continuing to update the 'Actual Spend' column throughout the year. This will help to ensure your club has enough funds to support it's goals.
Further Support:
Each clubs expenditure will look different due to the unique nature and needs of each club and sporting activity.
If your club does not plan on spending any money on things such as Coaching or Facility Hire (as an example) - please state this in the 'notes' column on the relevant tab. This will help to show that all tabs have been actioned and not missed - opposed to leaving them blank.
Reminder:
Completing this task should help committee members plan ahead to understand the importance of costs in relation to achieving their desired goals for the year.
As a general rule of thumb: Funding in Club Accounts should be spent on things benefit all of the club members, if not the majority of them!
All transactions in association with your clubs, should be processed through the Club Accounts. Strictly under no circumstances should items be paid for in cash, by private bank accounts or personal bank accounts. This is to help protect you and the club.
Lastly, money does not grow on tree's. Sport Hallam & the University have forecasted budgets that we have to align and adhere too. We are not in a position to support every request we recieve from clubs - this would not be realistic for us to attain.
