Classroom Manager allows you to find and publish a wide variety of information about the adoption of Classroom by all the teachers within your domain. You can measure student engagement with the tasks set and with the Google tools.

This page will describe the reports you can produce.

Lists of classes

Lists of teachers and students in those classes

Summary information, for each class showing numbers of students, assignments and announcements

Detailed list of Announcements made to the classes

Detailed list of Assignments set for the classes

Details of submissions by students for the assignments and the grades awarded.

Details of guardians invited and accepted for each student

Details of engagement with the google tools showing summaries of files created, edited and viewed.

Get a list of Classes

When you select the List Classes option from the Classroom Manager sidebar this window opens to allow you to specify the classes you want:

You can list all the classes in the domain (just leave all the fields blank and select List Classes)

You can select all classes for an individual teacher (enter their email address in the field at the top)

You can get just a subset of all the classes by filtering on one of or a combination of the fields in this window

For each of these fields it is looking for partial matches. eg in my domain the description heading includes (amongst other information) the academic year fo the class. So if I enter 19/20 in that field the system will return only those classes which contain 19/20 in that field.

The final field allows you to specify whether the classes returned should match ALL of the filter fields specified or returns classes which match any of the filters

List of Classes

Information Fields

  • No - Sequential number for reporting only

  • CourseID - unique ID number assigned by Google

  • Creation date - date the class was created

  • Owner organisation - OU group for the owner

  • Classroom link - will open the class in Classroom - if you are a member

  • Enrolment Code for the class

  • Guardians Enabled T/F - true if guardians have been enabled for that class

Following Fields are Editable

  • Class Owner - Email address of the class owner - blanked out in this image

  • Course Name

  • Course Section

  • Description Heading

  • Description

  • Room


Following Fields are generated by the Summaries Report

  • Number of Students

  • Number of Assignments

  • Number of Announcements

(created up to the date of the report)

  • Date of the report


Once you have listed the classes you are interested in you can retrieve detailed information about the classes

Information about Classes

  • Students currently in the class

  • Teachers in the class

  • Summary information about numbers of students, number of Assignments and number of assignments for each class

  • You can get details of all announcements for the classes

  • details of all assignments for the classes

  • details of all students submissions and grades for all the classes

Non-Class related Information

You can also get information about

  • details of Guardians for all students

  • details of Classroom/Google drive usage for a date range

How to get a List of Classes

Open the spreadsheet you want to use to run classroom Manger

Select Classroom Manager>Admin Menu from the add-ons menu That will open the sidebar

Select Classes from the sidebar menu

Select List - that will open a pop up window

In the pop up window specify the filters you wish to use or leave the fields blank if you want all classes in the domain

Then click on the Get Classes button

The add on will then clear the gsfeCls page and retrieve the relevant class data to populate that sheet. It is important that you leave the window open while it is running. In my domain with about 2100 classes it takes 4 minutes to retrieve the data.

How to get Summaries

Select Classroom Manager from the Add Ons menu

Select the Admin Menu option - that will open the sidebar

Choose Domain reports from the sidebar

Click on the Summaries button

Leave the window open while the data is retrieved

Data will be posted into the gsfeCls sheet.

Get details of teachers in the classes

Select Classroom Manager>Admin Menu from the add-ons menu That will open the sidebar

Select Students and Teachers data from the sidebar menu

Select GetGSFE data - this will open a new window

Select List - that will open a pop up window

Select Get GSFE Teachers - This will get Teachers data for all the classes listed in the gsfeCLS sheet.

Data will be pasted to the gsfeStdnts sheet - existing data will be over-written

It is important that you leave the window open while it is running. In my domain with about 2100 classes and an average of 2 teachers per class it takes 4 minutes to retrieve the data.

Get details of students in the classes

Select Classroom Manager>Admin Menu from the add-ons menu That will open the sidebar

Select Students and Teachers data from the sidebar menu

Select GetGSFE data - this will open a new window

Select List - that will open a pop up window

Select Get GSFE Teachers - This will get Teachers data for all the classes listed in the gsfeCLS sheet.

Data will be pasted to the gsfeStdnts sheet - existing data will be over-written

It is important that you leave the window open while it is running. In my domain with about 2100 classes and about 40,000 student/class records it takes 15 minutes to retrieve the data.


Announcements

This will give you details of all announcements for the classes displayed on the gsfeCls page. You can specify a date range and you can choose to see all posts or just posts by teachers. If you filter the list of classes in the gsfeCLS page it will retrieve announcements just for the filtered list.

Announcement Report Fields

  • Course ID

  • Class Name

  • Section

  • Class Description heading

  • Class Description

  • For Whom (either All_Students or Individual Students)

  • How many students (if assigned to individual students)

  • Date released

  • Announcement Title

  • Materials - any items attached to the announcement

  • Posted by (name - blanked out here)

  • Email address (Of poster - blanked out here)

  • teacher - Is the poster a teacher in this class True or False


How to get the Announcements report

Setup a filter on the sheet and use it to display only the classes you are interested in.

Select the Admin Menu option - that will open the sidebar

Choose Domain reports from the sidebar

If you want to export the data to another spreadsheet paste the URL into the text box. Leave it blank if you want the data to be pasted into the current spreadsheet.

Select the start and finish data for the data range. Leave these fields blank if you want to get all announcements.

Choose whether to replace the data in the sheet or append it to the end of the current data. If you leave it blank the data will be replaced.

Click on the button to get all posts (teacher and student posts) or to just get teacher posts.

Assignments

This will give you details of all assignments for the classes displayed on the gsfeCls page. You can specify a date range to retrieve assignments for. If you filter the list of classes in the gsfeCLS page it will retrieve assignments just for the filtered list.

Grades Report

This will give you details of all submissions and grades for all assignments for the classes displayed on the gsfeCls page. You can specify a date range - based on when the assignment was set. If you filter the list of classes in the gsfeCLS page it will retrieve assignments and grades just for the filtered list.

Grades Report Fields

  • Course ID

  • Class Name

  • Section

  • Class Description heading

  • Class Description

  • Date Set

  • Set by (teacher Email - hidden here)

  • Type (Assignment/MCQ/Short Text)

  • Assignment Title

  • Assignment Description

  • Due Date

  • Student (email address hidden here)

  • Status (current status at time of report)

  • Late T/F (whether submission was/is late

  • max grade

  • Student Grade (as awarded by teacher)

How to produce the Grades report

Select Classroom Manager from the Add Ons menu

Setup a filter on the sheet and use it to display only the classes you are interested in.

Select the Admin Menu option - that will open the sidebar

Choose Domain reports from the sidebar

If you want to export the data to another spreadsheet paste the URL into the text box. Leave it blank if you want the data to be pasted into the current spreadsheet.

Select the start and finish data for the data range. Leave these fields blank if you want to get all submissions.

Choose whether to replace the data in the sheet or append it to the end of the current data. If you leave it blank the data will be replaced.

Click on the button to get all submissions - including the grade awarded

Leave the window open while the data is retrieved

Usage Report

This will give you details of Classroom and Google drive usage for all users for a date or a range of dates

Usage Report Fields

  • User Email,

  • Users First Name

  • User’s Surname

  • User ID

  • User Title

  • Department

  • Cost Centre

  • User’s OU Path

  • User’s Full Name

  • User’s Role (Teacher or Student)

  • Date of Last Login (to Google)

These fields are specific to the date of the report

  • Number of Emails received

  • last Classroom Interaction - ie the date this user last opened the classroom dashboard

  • Number of Classroom Posts

  • Number of Drive files created

  • Number of Drive Files Edited

  • Number of Drive Files Viewed

  • Date of the report

How to produce the Usage report

Select Classroom Manager from the Add Ons menu

Select the Admin Menu option - that will open the sidebar

Choose Domain reports from the sidebar

If you want to export the data to another spreadsheet paste the URL into the text box. Leave it blank if you want the data to be pasted into the current spreadsheet.

Select the start and finish data for the data range. If you leave these fields blank it will retrieve the most recent data it can - usually from 3 days ago.

Choose whether to replace the data in the sheet or append it to the end of the current data. If you leave it blank the data will be replaced.

Click on the button to get usage reports

Leave the window open while the data is retrieved
