The gsfeTchrs and gsfeStdnts pages will give you a list of the teachers and students currently in the classes listed in the gsfeCls page. You can also add teachers and students to those classes or remove teachers and students from the classes. Instructions for that are at the bottom of this page.

Managing teachers and Students in your classes

gsfeTchrs & gsfeStdnts

These page will give you lists of the teachers and students for the classes listed in the gsfeCls page. The fields are very similar for both sheets. They are used to manage the membership of the classes.

Unique ID number for the class -hidden from users

Teacher

Email address of the teacher

Section for the class

Status of the class

Description Heading

This is not accessible through the normal Classroom Interface - it is useful in the syncing process

Owner?

This field is set to Y if the teacher is the owner of the class. You cannot remove the teacher from the class unless you transfer ownership first.

Add Student/Add Teacher

Put a Y in here to add a teacher or a student to the class. The Sync process will add a student or teacher record and put a Y here when you run the sync process - if the person needs to be added to the class.

When you run the update process this will be changed to the word Added

Delete Student/Add Teacher

Put a Y in here to remove a teacher or a student from the class. The Sync process will put a Y here when you run the sync process - if the person needs to be removed from the class.

When you run the update process this will be changed to the word removed

Date Actioned

When you run the process to add or remove a teacher or student this field will show the date actioned or an error message if it can't be actioned.

Get details of teachers in the classes

Select Classroom Manager>Admin Menu from the add-ons menu That will open the sidebar

Select Students and Teachers data from the sidebar menu

Select GetGSFE data - this will open a new window

Select List - that will open a pop up window

Select Get GSFE Teachers - This will get Teachers data for all the classes listed in the gsfeCLS sheet.

Data will be pasted to the gsfeStdnts sheet - existing data will be over-written

It is important that you leave the window open while it is running. In my domain with about 2100 classes and an average of 2 teachers per class it takes 4 minutes to retrieve the data.

Get details of students in the classes

Select Classroom Manager>Admin Menu from the add-ons menu That will open the sidebar

Select Students and Teachers data from the sidebar menu

Select GetGSFE data - this will open a new window

Select List - that will open a pop up window

Select Get GSFE Teachers - This will get Teachers data for all the classes listed in the gsfeCLS sheet.

Data will be pasted to the gsfeStdnts sheet - existing data will be over-written

It is important that you leave the window open while it is running. In my domain with about 2100 classes and about 40,000 student/class records it takes 15 minutes to retrieve the data.

add teachers to classes

Click on to the gsfeTchrs sheet

if you haven't already done so run the process to fill the sheet with the current list of teachers in the classes listed in the gsfeCls page

To add a new teacher you need the teacher's email address and the Course Id which you can get from the gsfeCls page

Add those 2 details in a new row anywhere on the gsfeTchrs sheet and put a Y in the Add Teacher column

Repeat for all the teachers you want to add then from the sidebar menu select Students and Teachers data and click on the button to Add teachers

The script will run to add teachers which have a Y in the add teachers column as the teachers are added the data in columns H and J will be updated to report success or failure

add students to classes

Click on to the gsfeStdnts sheet

if you haven't already done so run the process to fill the sheet with the current list of students in the classes listed in the gsfeCls page

To add a new student you need the student's email address and the Course Id which you can get from the gsfeCls page

Add those 2 details in a new row anywhere on the gsfeStdnts sheet and put a Y in the Add Student column

Repeat for all the students you want to add then from the sidebar menu select Students and Teachers data and click on the button to Add students

The script will run to add students which have a Y in the add students column. As the students are added the data in columns F and H will be updated to report success or failure

remove teachers from classes

Click on to the gsfeTchrs sheet

if you haven't already done so run the process to fill the sheet with the current list of teachers in the classes listed in the gsfeCls page

To remove a teacher you need to put a Y in column I

Repeat for all the teachers you want to remove. Then from the sidebar menu select Students and Teachers data and click on the button to Remove teachers

The script will run to remove teachers which have a Y in the remove teachers column as the teachers are removed the data in columns I and J will be updated to report success or failure.

Please note - you cannot remove a teacher who is the owner of the class. To do that you will have to transfer ownership to another teacher first

remove students from classes

Click on to the gsfeStdnts sheet

if you haven't already done so run the process to fill the sheet with the current list of students in the classes listed in the gsfeCls page

To remove a student from a class you just need to put a Y in column G

Repeat for all the students you want to remove then from the sidebar menu select Students and Teachers data and click on the button to Remove students

The script will run to remove students which have a Y in the remove students column. As the students are removed the data in columns G and H will be updated to report success or failure
