This page will explain the data available in the gsfeCls page (an example of the data is shown in the image below.) and how you can get information about classes and update that information.

How to get a List of Classes

Open the spreadsheet you want to use to run classroom Manger

Select Classroom Manager>Admin Menu from the add-ons menu. That will open the sidebar

Select Classes from the sidebar menu

Select List - that will open a pop up window

In the pop up window specify the filters you wish to use or leave the fields blank if you want all classes in the domain

Then click on the Get Classes button

The add on will then clear the gsfeCls page and retrieve the relevant class data to populate that sheet. It is important that you leave the window open while it is running.

In my domain with about 2100 classes it takes 4 minutes to retrieve the data.

Creating New Classes

Open the gsfeCls page

On a new row add the Owner Email address (in column K) and the Name for the new class (in column L)

Its not essential but you can also add information in the following fields:

Course Section

Description Heading

Description

Room

When you have added the details for all the classes you wish to add open the Classroom Manager Admin Menu sidebar and select Classes

Then click on the Add button the script will run to add your new classes. As the classes are added information will be added to the following columns in the sheet

Course ID

Creation Date

Classroom Link

Enrollment Code

Guardians Enabled T/F?

Course State

The Course State for all the new courses will be PROVISIONED in that state the teacher will see it in their dashboard and can accept or decline it. While it is in the provisioned state you as admin can students and other teachers to the class. The students will not see it in their dashboards until one of the teachers accepts the class. When that happens the course State will change to ACTIVE.

As admin you can also change the course state to Active - see the section on updating classes. If the admin changes the course state to active the class will immediately appear in the dashboards of teachers and students of the class.

Updating Classes

Open the gsfeCls page

Run the process to get a list of the classes

Admins can change the following details of the classes

Class Owner

Course Name

Course Section

Course State

Description Heading

Description

Room

To change the Class Owner enter the email address of the new owner and put a Y in column B

To change the other fields enter the new data and enter a Y in column A.

The Course State can only be changed to Active or Archived - Admins cannot change the status to Provisioned once it has been made active

When you have entered the new details Open the Classroom Manager Admin Menu and select Classes.

Click on the Update button.

When the changes have been made the Y in column A will be changed to Updated.



Deleting Classes

Open the gsfeCls page

Run the process to get a list of the classes

Put a Y in column C for any class you wish to delete

Then open the Classroom Manager Admin Menu and select Classes.

then click on the Delete button

Please note this action cannot be undone.

Also, you cannot delete a class if the owner's user account has already been deleted.

When the class has been deleted the word deleted will appear in column C. If the class cannot be deleted an error message will appear in column C

Change classroom owner

Open the gsfeCls page

Run the process to get a list of the classes

To change the Class Owner enter the email address of the new owner and put a Y in column B

Open the Classroom Manager Admin Menu and select Classes.

Click on the Update button.

When the changes have been made the Y in column B will be changed to transferred

gsfeCls

The gsfeCls will show you the details of the classes you have selected to list

Update Y/N

Enter Y when you want to make a change to a class

Change Owner Y/N

Enter Y when you want to Change ownership of a class

Delete Course Y/N

Enter Y when you want to delete a class

Sequential number added when the classes are listed by Classroom Manager

Course ID

Unique identifier for the classroom course - not viewable in the Classroom interface

Creation Date

Date created

Owner Organization

The OU of the course owner

Classroom Link

Link to the course in Google Classroom will return an error if you are not either a student or a teacher of the class

Enrollment Code

Enrollment code for this class - you can give this code to students to allow them to add themselves to a class - the code can be disabled in the classroom settings

Guardians Enabled T/F?

Have guardian summaries been enabled in the Classroom settings for this course

Class Summaries - all classes

Get numbers of students, announcements and assignments for all classes in your domain -you can also set up a schedule to fetch that data automatically every day or every week.


Class Summaries

The Class Summaries fields are populated after the list has been created

No of students

Number of students in the class

No of assignments

Number of assignments ever set for the class

No of Announcements

Number of announcements ever made to the class

Date

This is the date the Class Summaries data was produced


How to get Class Summaries


Select Classroom Manager from the Add Ons menu

Select the Admin Menu option - that will open the sidebar

Choose Domain reports from the sidebar

Click on the Summaries button

Leave the window open while the data is retrieved

Data will be posted into the gsfeCls sheet.
