Theory
This is a term used to describe the layout of a page, we can have it either horizontally or vertically. Some documents will require a certain orientation, for example a letter will always be in Portrait. However, posters can be either portrait or landscape.
Images can be used in documents to help us communicate key information alongside text. These can also be useful for reinforcing key messages and keeping the audience interested. When using an image for business purposes we must make sure it is not copyright protected. If it is we could be sued for using it unless we have the owners permission.
Charts and graphs can be used to represent numerical data. Charts/Graphs can make complex numerical data much easier to interpret and understand. Some common types of Graphs/Charts include:
Line Graph
Bar Graph
Pie Chart
Scatter Graph
Shapes are very useful in a wide range of documents. They can be used to create all manner of diagrams including flow charts, mind maps and many more. Most software applications will have a wide range of shapes available in clip art. These are usually accessed through the insert section of the top menu.
A hyperlink allows us to add a link in a document to another file or web page. We can use text, images or shapes as hyperlinks.
A table is another method of displaying numerical data. These usually include headings to clearly explain the purpose of each row/column and numerical data. When creating a graph we often create a table first containing the key information.
When combing images, charts and text in a document we have to consider what wrap text setting we wish to use. Although similar they will all change the arrangemnt of the text in relation to the other objects.

A business letter is a professional, formal letter that is sent by one company to another. These letters can be used for professional correspondence between business clients, employees, stakeholders as well as individuals.
The Letterhead contains the company's name and address including phone number. Some Business Letters will have a Letter Head whilst others will not.
A business report is a formal document that typically analyses a situation and produces a range of suggestions/actions/improvements. An example of a business report is when you write a report to your boss when you want to introduce an idea you have about a new product.
Imagine Mrs Kirk wants to upgrade all of the mobile devices computers in the school. She might ask Mr Connolly to write a report on the different possibilities. This will provide Mrs Kirk with the information she needs in order to decide on the best device.
A poster is a promotional material, it is designed to promote a brand, product or service. These are printed and often displayed on shop windows, bus stops or on billboards. Posters typically include a mixture of text and images. Some will have minimal text/ information while other posters for local events may contain a lot more information.
An agenda is sent to those attending a formal meeting before the meeting starts. It contains a list of topics to be discussed at the meeting. The meeting then follows this structure when it takes place. Agenda will detail:
• Date of meeting
• Time of meeting
• Location of meeting
• Attendees
• Minutes of last meeting
• Matters arising
• Topics listed for this meeting
• AOB
• Date of next meeting
Minutes are a word processed record of the discussions, decisions and actions taken in a meeting. They are formal in nature and keep as a record of what has happened for future reference. Minutes may include the following:
• Date
• Attendees and apologies
• Previous minutes passed or amended
• What discussions took place
• Decisions made
• Actions which need to take place
• Date/time/location of next meeting
This is a form designed to collect data from people they can be paper based or electronic. They are often used when conducting market research or surveying customers/potential customers. Businesses will also require applicants for jobs to complete an application form, this is a type of data capture form.
This is a process of automatically adding details stored in a database to word processed documents. This can save organisations a lot of time and effort and reduce errors as opposed to manually creating each letter.
