The student credit transfer form used to be a shared Google Sheet that was run through a validation process that would import data once a week. This process was a bit slow and prone to validation errors that made the import process slow and cumbersome.
In an effort to improve and streamline the process, we’ve moved this application to Retool so that the validation process happens in real-time and we can start automatically importing the data into PowerSchool much more frequently (2x a day).

The application collects the identical information the spreadsheet collected, so all of the fields should look quite familiar. Using Sections 1 and 2 on the form, enter as many student credits as you would like, and as you do so, they will appear in Section 3. Once you are satisfied and have entered all your credits, click submit in Section 3 and all the credits will be uploaded to our server for Powerschool import later in the day. You can also automatically populate fields using the “Repopulate” button in the “History” tab or from Section 3—more information on this below.
Step 1: Provide the student number
Enter the student’s ID number, click “Lookup Student”, and the name and campus information will be fetched from powerschool and populated for you. Should you at some point decide to enter credits for a different student, click the “Change” button to enter a new student number.

Step 2: Provide the course credit information
This section should look very similar to the spreadsheet. Fill out the information about the course, the credit types, the year ID, etc., and when complete, click the “Add Course to List”, which will put the course into the table in Section 3. You can view a list of year IDs, credit types, and grade scale mappings here.
Keep adding courses to the list in Section 3 as desired, either multiple courses for the same student, or the same course for different students according to your needs. As you do so, the total list of student courses will appear in Section 3. Note that you can put multiple grades in for the same course over multiple terms. Doing so will create a new row for each term with the corresponding term ID and store code.
Campuses do not need to fill in ISBE course information if the course does not take place at a Noble campus.
Step 3: Review and Upload
Once you have completed entering all the course credit information, review the data in Section 3 and make sure it is all correct. If any information happens to be incorrect, you can either click “Remove” and start from scratch OR “Repopulate” which will fill the fields with the data from that row for you to edit. If you do this, be sure you still click “Remove” on the incorrect row!

Once the course information has been reviewed, you can then upload it for import into PowerSchool by clicking the “Submit Courses” button. This may take a few seconds to complete this step.
Once the course information has been submitted, you’re all done! Imports are done in batch and happen twice a day, once in the morning and once in the evening, so you should be able to see your work reflected in PowerSchool by the following school day at the latest.
For help expediting input, you can click on the “History” button in the top right of the dashboard and choose to repopulate the fields from any course submitted in the past 30 days. This may be useful if you want to submit the same course for a different student.

***Note on Transfer Students - In cases where incoming transfer students do not have Advisory credits from their previous school, please enter in the following course waiver for every semester they were not at Noble:
Grade Level: enter in the student’s grade level at the time of the term ID (not their current grade level)
School Name: the current Noble school
Course Name: Advisory Waiver
Course Number: LS0000C0
Term ID: enter in a term ID that the student was not enrolled at Noble and was not enrolled in any Advisory class at their previous school
