Checking links. What the different icons mean

• Clock Icon ⏱️

  • The link is pending/loading

  • Right click on the clock icon in the links panel to help it load

  • If an image is on the page multiple times it will have a drop down arrow, you must expand it to see all the links in order for right clicking to work on these

• Yellow Triangle 📐

  • The link has an update and needs to be refreshed

  • Click on the refresh symbol in the links panel OR on the triangle on the image on the page

• Red Circle 🔴 

  • The link is missing

  • This is common with any Shared Content that got pulled from the shared archive

  • Click on the Link icon in the links panel and navigate to where the file is located (for the archived shared content, there is a links folder in the same place as the InDesign file)

  • If your links are missing for placed content from BLOX, double check you are in the correct domain. Then, if needed, re-place the content off to the side to re-establish the link. If still not working reach out for help

Text is highlighted in pink

• This means the font is missing

• Oftentimes it is the taglines that need to be changed from Italic to Book in the fonts setting.
  However, if it is an entire font missing then restart InDesign/check VPN connection.
  If still missing reach out to Customer Service letting them know the exact font, which remote you are using and what site/page you are in.

• Getting a font from Creative Cloud

Dead Jumps not working

• Jump page options don’t show up

  • Close all your pages.

  • Switch to the desired domain you’re working in (if already in it select a different one then go back into the correct domain)

  • Then open up the pages by going to:
    BLOX Total CMS → Documents →  Open from Blox total CMS → select the pub → date → page.

  • If that doesn't work, close InDesign and run the ID fixer (located here:  \\leemun-rdc3\MUN_RDC_DATA\!RDC_Design_Links\Redesign Guides and Libraries ).
    Then open the pages in the same way as listed above

• InDesign locks up when you try to jump a story

  • This is likely caused by an InCopy note within the story

  • To get out of the locked up InDesign, open Task Manager and force quit InDesign

  • Once the page is open again you will need to manually jump the story. There is currently no other method that works.

  • Also make a post in the Customer Service channel letting them know which exact site/page/slug caused the lock up.
    Ex. “BUF_NEWS 10/08 B1 locked up when jumping 100823-buf-news-vape-detectors due to InCopy notes. I am manually jumping the content today”

• Jumps sent, but nothing is showing up on the jump page to be placed

  • On the jump page go to BLOX Total CMS → Jumps → Dead Jumps Manager

  • Double click on the jump you need from there and place on page

Unfreeze Asset Manager

• Go to the BLOX Total CMS menu in InDesign:
  BLOX Total CMS → Update and Reset → Reset Asset Manager

Page won't send, and I’m getting a Missing Preset warning

• Go to the BLOX Total CMS menu in InDesign:
  BLOX Total CMS → Update and Reset → Output Presets

• Then log out and back into BLOX and try again 

• If that does not work try,
  BLOX Total CMS → Utilities → Load PDF Presets

• Log out and back into BLOX and try again

Image Status window keeps crashing

• Either a photo or QR code is corrupt

• If there are QR codes on the page, select all of them and use Ctrl + X to cut them off of the page.
  Then open the Image Status menu (F4) like normal and tone all other photos
  Paste in Place (Ctrl + Shift + Alt + V) the QR codes back onto the page before doing anything else

Make sure to repeat this if you need to go into the image menu again 

• If there are no QR codes then it's one of the photos. You'll have to ask Quality Control to manually tone the photo

Page won’t send to 1st proof or JPG preview

• Double check that a few things are correct:
  InDesign file name
  You are in the correct date
  Page number and section letters (located in the Pages window)

• Corrupted QR codes might also be the cause 

• If everything is accurate, check the Customer Service Slack channel to see if others are reporting the same issue. It could be a switch needs to be restarted.

Removing stray code in stories

• Select the text box that has the code in it 

• Press CRTL + F to access the Find/Change menu

• Once that is open click on the GREP tab 

• Paste this into the "Find what" dialog box
  (<)(?<=<).*?(?=>)(>)

• Leave the "Change to" area blank. 

• To run this only on the selected story, choose "Story" from the Search drop down
  To run this for the entire page, choose "Document"

• Press change all. The Find/Change should find and remove all of the coding. 

• To save for future use, click on the "Save Query" icon in the top right.

Signing into everything after password changes

• New password doesn't seem to be working on everything

  • Change password (of course)

  • Restart your computer

  • Sign-in however it will let you (with the old or new)

  • Sign-in to the VPN however it will let you (old or new)

  • Then from the desktop press Ctrl + Alt + Delete

  • Choose Lock from the options

  • Sign-in again (should be the new one now) 

• RPM isn't accepting the new password still

  • If clearing the cache doesn't work (Ctrl+F5), Google Chrome  lets you go to individual sites and clear the data for each

  • Open Google Chrome and go to
    Settings → Privacy and security →  Site Settings → View permissions and data stored across sites

  • Search for "leeent" entries and open them to find the rpm url. 

  • Click on the drop down icon on the right of that line and choose "Delete Data".
    If you're running multiple RPM tabs, you'll need to search for multiple "leeent" lines and open them up.

  • RPM should prompt you to sign-in again using your new password

Output Request error message

• You received this error when trying to send a page to proof

• This means there is an issue with a PDF on the page (usually an ad) and will prevent the page from going to 1st proof

• To get around this:
  Close InDesign
  Run the ID fixer (sometimes just restarting InDesign fixes the issue)
  Re-open the page and send to proof again

• Now you should get an OPI error message, click OK and the page should go through. If it still doesn't, contact Customer Service

InDesign is wanting to update

• Do NOT update InDesign without permission

• Make sure Auto Update is toggleed OFF in your remotes Creative Cloud

Tabs aren’t lining up

• Run automatic tabstop

• Still not working? Check to see if it’s running into an ad and tab stops are throwing it off.

• Lessen text wrap on the side of the ad.

• Still not working? Use the eyedropper tool to copy an existing asset

• Still not working? Open the tabs menu and check for missing tabs or manually adjust

CC Libraries aren’t working?

• Log out of Creative Cloud app and log in again. If that doesn't work, reboot and try again. 

  • Have someone place the module you need if that doesn’t work. 

  • Report it in your night note including which remote you were on. 

• Temporary fix: In InDesign - CC libraries panel - drop down the menu and choose "import library" (note: it won't update automatically if we make a change but this version should be current)

  • Select Location: Select library: \\leemun-rdc3\MUN_RDC_DATA\!RDC_Design_Links\Redesign Guides and Libraries

  • Click on the Lee Design Center.cclibs file - hit ok

Object invalid error message

• If you see this error message: 

• It means that InDesign is likely to crash soon

• Close all pages and restart InDesign 

Missing links within snippets

• Some files may have been moved to a new location

• Post any missing links into #customerservice with the site, snippet and links that are missing

• Make sure to place your A1 and A2 snippets as soon as possible to ensure you have time to address anything

Check Links message

• This message means a link was not completely loaded when you tried to close the page

• Press "Yes"

• Double check all your links in the "Links" panel

• Then close the page

Placing elements from the CC library

Here's how to avoid items being randomly placed on the page. Once you drag the item out of the library – you will see your cursor change to a different icon to place it on the page – at this point, hold down the “alt” key and click where you want it to go on the page. It will place it there instead of a random position.

My remote has frozen

• Double check that it isn't just your InDesign by seeing if you can type in the search bar in the bottom left

• If you CAN then search for task manager and force quit InDesign

• If you CAN'T then close out of the remote by hitting the "X" in the blue bar at the top then signing back in (sometimes it helps)

• If it is still frozen after that, let Customer Service know it is frozen and which pages you had open so that they can close them/reset the remote.

PROCEDURES

Finishing Desk sites

• If a page is in FLEX then it is a finishing desk site and will be ready to be worked on once the content type is changed to FINISHING

Placing shared modules correctly

• All shared modules should be located in
  \\leemun-rdc3\MUN_RDC_DATA\!RDC_Design_Links\RDC Shared Content

• Make sure the module you are using matches the date/file name given in the budget

• Cmd+D or File > Place.

• Navigate to the folder where the module is.

• If there is a snippet, click on it and select Open. 

• Hold down the Alt key to place where you want. 

If there is no snippet:

• Go into the folder and open the InDesign document.
  If someone else has the file open, you can pull a copy onto your remotes desktop by clicking and dragging the file OR go to File/Open (not Open with Blox), navigate to the file and click the dot that says Open as "Copy"

• Once open, check your links and then select all that you need

• Copy and close the file so that others can access it (make sure not to accidently cut content or make changes on the shared page)

• Paste the selection onto your sites InDesign page

• Adjust as need to make sure nothing is cut off

• Any page that uses shared content needs to be marked as "Shared"

Locating and placing graphics

• All graphics should have a corresponding ticket number
  (If the editor cannot provide the ticket number, they might be giving you shared content instead)

• Use that number to locate the graphic in the specific sites folder within
  \\leemun-rdc1\RDC_Data\RDC_Graphics

• If you can not locate the ticket go into Slack and search for the ticket number in the #presentation-tickets channel. There should be a post about the ticket, including its location.

Placing child assets (images) without placing the story

• Draw a box/frame onto the page for the image to go into

• Select your empty box and press F2 to open the asset manager

• There should be a "Children" box at the bottom

• If there is not, go to the “Preferences” tab in the top right, choose the “Include” tab in the search results and then make sure “Selected Asset Children” is checked

• Go back to Basic Search and then search for the story or photo slug

• With the story selected (not double clicked) any attached assets should show up in the Children’s box. Clicking on them will generate a preview on the right and double clicking it will place it into the empty box. 

Placing 360/Lively content

• 360 pages run during print editions for the new 3day-print sites

• If a paper has them, they are in their own section and can be distinguished by the placeholder ads on the pages “NATIONAL01”

• Editors will not put budgets in RPM for these pages or mark them content ready

• All pages in 360 section should be marked as "Shared"

• There is always a post in the News-Content Team channel with notes about the specifics for that day and when pages are ready to be placed. BE SURE TO READ IT

• Certain sites (posted in the site message each time) get no section letters
  The covers/jumps will need to have the billboards and jump lines adjusted to take the letters out

• The Nation&World and Business pages will have an early version and late version
  Any papers with a deadline after 3:30pm should wait for the late versions of those pages

• 360 shared pages are located in
  \\leemun-rdc3\MUN_RDC_DATA\!RDC_Design_Links\RDC Shared Content\!360

• Each page gets placed the same as any other shared content

• All 360 pages get sent to 2nd proof

E-edition Retail Full ads vs. Obit fillers

• Regular Retail Full pages get sent direct to Newsway like normal

• Obit Retail Full filler ads will get sent to 2nd proof (for now)

Volume/Issue number's

• All publications, including all weekly papers and all e-editions, will require volume and issue numbers on A1 for legal reasons

• If the editor does not provide these for E-editions, look at the previous edition and add 1 to the issue number

Find X column sig

• First check the sites Snippets, Column Sig Library and CC Libraries 

• Then check the site’s temp art or standing art folder. Look for a folder that may be named “columnists” or “sports” 

• Search the columnist’s name in BLOX and limit results to just images. Past files will show up here if it has ran before.

• Search the columnist’s name in Slack to see other pages it may have ran on or where it may be located

• If the sig is something that is used often, put in a snippet form request, link on the designers website.

Plate preview in RPM, but not the page

• Check with customer service to confirm the page has been received

• If yes, then change the content type to “confirmed in newsway.” This is common with classified pages. 

Full page Classifieds are missing and not showing up in the plate preview

• Post in #customerservice ask that the SITE/PUB/PAGE/DATE be verified as confirmed in newsway or missing. Please wait to within 60-90 minutes of the deadline.

  • If confirmed, change the content type to confirmed in newsway in RPM

  • If missing, customer service will reach out to the site. 

Find agate person

• Check the national sports desk budget in the top left corner.

Which modules are being used for e-editions

• For sports: check the national sports desk budget under the orange banner

• For news: check here and look for the post from Finishing-Desk about daily specifics

Where can I check dummies

Pub box placement on A2 when there are ads

• Leave the ads at the bottom of the page

• Move the pub box above or adjust as needed

Parent/child sites

• Parent/child sites are shared 360 and Lively sections for some of press sites.

The parent sites listed below will always be sent, but with generic folios that have no publication name.  The child sites listed below will only be sent if there is a unique ad layout for that site.  You can tell if a child site needs to be sent or not by if there are pages in RPM.  If there are pages for a child site, it needs to be sent with unique folios.  If there are no pages in RPM for a child site, this means that it does not need to be sent.

Trimming stories

• Make sure you are not deleting any trimmed or hidden text in stories. You may be taking video, photos or links off of a website.

• If you see these trim marks on their own line in a story, instead of deleting them you can double-click in the white space to the right of them to highlight the paragraph break, and then hit ctrl+F8 to add the paragraph break causing the gap to the trim. It gets rid of the gap, but doesn't delete anything.

• If story is released then you can't/don't need to trim.

Bonus E-Edition Pages 

Like Tucson does now, Richmond now has the option to add pages to their e-editions on days they have extra coverage they want to include in their e-edition that will not appear in the print edition. Here is the process for adding a bonus page:

Process:

• Editor informs designer of the need for extra page(s)

• Designer creates InDesign page(s) in BLOX

• All Bonus Xtra pages should include a Bonus Xtra label on the page. Bonus Xtra label now lives in the CC library under Page Elements (reach out to your lead with questions regarding)

• Designer proofs pages to site editors via Slack before sending to NewswayX

• Designer posts in Customer Service channel denoting pub name, pub date, section letter and page number(s) for the extra pages. CS should be informed in advance of the page(s) being sent to NewswayX so they can plan NewswayX pre-emptively.

• Customer Support will enter the plan for the page(s) in NewswayX

• Designer posts in Customer Service channel when page(s) are sent to NewswayX

• Customer Support verifies the page(s) have been received and approved in NewswayX

TIPS AND TRICKS

Toggle a laptop keyboard for BLOX function keys

• To avoid having to hit the FN key every time you hit an F1, F2, or other BLOX key when you are working on a laptop keyboard: Hold down the Fn key and hit the Esc key. 

• Each time you hit this key combo it toggles between the standard laptop function keys and BLOX function keys.

Set up Slack alerts

• It's important to get notifications
  Figure out the right configurations for you here

Preflight check

• Check your pages for any errors

• With an InDesign page open, there will be a Preflight checker at the bottom

• You can also have it open as a window to keep in your tool bar 

• This will let you know if there are any errors like overset text or missing links 

Chrome browser settings to open correction PDFS

• Click on three vertical dots at the top right corner of the page (if they’re horizontal dots, you have Edge because of Microsoft).

• Go to Settings

• Click on Privacy and Security on the left side and find Site Settings in the main part of the window. 

• Scroll to the bottom to Additional Content Settings. 

• Scroll down and find and select  PDF Documents

• Click on the slider next to “Download PDFs”  

• To get automatic opening of downloaded pdfs:

• Download a PDF page from RPM

• In the top right corner click on the download symbol, right click onto a PDF and then check “Always Open with System Viewer.” This will open your pdfs in Acrobat or a default PDF reader.

Create a table within InDesign

• On your InDesign page go to the Table → Create Table 

• Input the number of rows and columns you need 

• Click and drag to the size you want it

• You’ll then be able to edit the information and individual boxes

Clear Chrome cache

• Ctrl+F5 

• Can help when RPM is loading slowly

Creating a new night note template and signature in outlook 365 

To keep InDesign from being overloaded

• Try to limit the number of pages you have open so ID doesn't get overloaded

• Remember to PAUSE and give things time to load. If something is frozen or acting slow, clicking around on a page or pressing buttons only adds to the list of things that program has to do. It just makes it take longer and crash harder.
