The Expanded Learning Office (ExLO) is excited to share the new Extended Contracts process for all certificated staff. Before the process begins, please confirm that your school site's after-school budget includes sufficient funding to process the HRAs. If there are no funds allocated, ExLO will be unable to process any HRAs or timesheets, resulting in late payments to certificated staff. For any questions, contact your Expanded Learning Program Manager.

Step 3: Once the Extended Contract has been Approved, a Welcome Email will be sent from the Expanded Learning Office. This email will go to:

Principal
Site Coordinator
Agency Director
OUSD Program Manager
This email will also confirm the total hours for the extended contract, the contract start/end dates and how to process your timesheet.
Step 1: Site Coordinators will submit timesheets in the Specific Site's Deliverable Folder named:
25-26 Extended Contract (see highlighted folder below)
Inside the folder, you'll find a spreadsheet (screenshot below):
Rows are assigned to a specific individual.
Tabs are specific to each month. After the end of each pay period, the tabs will be locked. Timesheets must be submitted monthly.
Due Date: Timesheets are due by the 15th of each month.
Column H: will count down the number of available hours.
Column I: Will outline the total amount for each individual
After submission:
Program Assistants will lock the spreadsheet after the due date to allow time for processing and approvals.
Payout Schedule: Payroll begins processing at the start of the next month, and payment is scheduled for the end of that month.
Example:
If a teacher submits their timesheet on August 11th, our office will begin the process between August 16–30. Payroll process on September 1st, and the payout will occur by September 30th.
I understand this process has several steps, but it’s designed to ensure transparency and alignment across sites and with the budget reflected in the PPT.

ET/OT is reserved for OUSD employees such as a Culture Keeper, PARA or support person who you would like to work in your site's after school program.
