Purpose
A record is a document consciously retained as evidence of an action. Work-based learning (WBL) teacher-coordinators are required to maintain records to demonstrate that their WBL courses comply with laws, regulations, and policies.
Notice of Nondiscrimination
A Notice of Nondiscrimination in CTE must be included on promotional materials, policy manuals, student admission forms, and other printed materials that are developed for distribution to students, parents, employers, or the general public. Keep a copy of all CTE printed materials distributed to students, parents, employers, or the general public.

Individualized Training Plans
All career preparation and practicum students are required to have completed, signed individualized training plans on file in the student's permanent record by the required deadline.
Training plans are important for documenting that
the Texas Essential Knowledge and Skills (TEKS) of the course were met;
appropriate occupational safety training was provided; and
all parties agreed to the training plan.
The only exception to the required training plan documentation is in the case of an unpaid practicum course in which the teacher-coordinator is also providing the work-based instruction. In this instance, the training plan documentation mentioned above is not required.
Work Experience Records
WBL teacher-coordinators must monitor the WBL students’ classroom and worksite hours and maintain records that demonstrate compliance with federal and state requirements.
WBL students’ weekly work hours must meet minimums and maximums dictated by labor laws, regulations, and policies in order for districts to
comply with federal and state requirement
grant credits for WBL courses; and
receive state funding for CTE programs.
Teacher-coordinators are responsible for documenting the number of hours that career preparation and practicum students spend receiving classroom instruction. Students are responsible for reporting their work-based training hours on their weekly training reports and time sheets (or a similar report that can be collaborated with employer records).
Training Site Visitation Records
As discussed in Lesson 3.2, Student Attendance Accounting Handbook (SAAH) rules require work-based learning (WBL) teachers to visit each student's training site at least six times per school year and at least one time each grading period.
WBL teacher-coordinators must document each onsite visit to each training station. The following are templates you may make a copy of and use.

Student Performance Records
WBL teacher-coordinators are responsible for maintaining records to document each student’s performance and support each student’s evaluation.
