HR Information

Please make sure all of your staff's HR information is up to date in Alma! We will be pulling your HR reports directly from Alma this year!

I know this is a bit different than how we've collected your HR data in previous years, but it is all the same information. The only difference is where you're putting the info. 

Below I'll detail how/where to find each of the needed fields for our reports. 

Assignment

• Go to directory in your Alma site, search for your Staff Member, navigate to BIO, additional fields tab

• Find where it says "custom view" and switch the view from "all" to "CDE Staff Interchange - Staff Assignment" 

• Fill out all of the fields that pop up to the best of your ability

• Fields to note:

  1. • • Hourly Rate of Pay - only needed if you do not put in a base salary in the assignment table

       • SPED Assignment Flag - Make sure to label your SPED staff using this flag!

       • Assignment Table Field - If you were to import all of this information, you'd have to do a separate import for the assignment table field specifically. Templates for this can be found in Alma, under imports, then "Table field Imports", and search for staff Assignment

       • Years of Prior Pre/k-12 Teaching Experience - How many years, prior to this year, has this TOR held a licensed teacher position

       • Years of Prior Pre/k-12 Teaching Experience - How many years, prior to this year, has this TOR held a licensed education position

         1. • Includes but is not limited to: teaching, school nurse, principal, guidance counselor, etc.

Profile

• Go to directory in your Alma site, search for your staff member, navigate to BIO

• On the basic information tab of the bio, please fill out the staff's state ID (EDID), DOB, Race, Sex, and Ethnicity

  1. 1. • If you do not have an EDID for a staff member, please use the EDID Request Form so I can get one for them.

• On the additional fields tab, switch the custom view to "CDE Staff Interchange - Staff Profile" and fill out all of the fields that pop up, to the best of your ability

• Fields to note:

  1. 1. • SSN - Do not put any dashes

        • Hire Date - Date you first hired the staff member (not limited to this year)

        • Education - Once again, if you were to import your staff's info, you'd need a separate import for the "Education" table field. Same instructions for doing so apply, except you'd be searching for staff - education (instead of staff - assignment)
