You MUST notify the BOCES of any grade change situation first.
The process for mid-year grade level advancement is typically outlined in the student handbook, though most schools only allow grade advancement at the end of the academic year. However, if mid-year advancement is being considered, the general process would involve the following steps:
Initial Meeting – A discussion with the student’s teacher, guidance counselor, and principal to review test scores and determine whether advancement is appropriate. This includes assessing academic performance, maturity, and overall readiness.
Official Evaluation (to include consideration of gifted and talented eligibility) – The student would need to complete an evaluation process, which may include:
Standardized tests
Subject-specific exams
Portfolio review or work samples
Teacher recommendations
Formal Request – Parents are usually required to submit a written request for grade level advancement.
Administrative Decision – The final decision rests with the school and BOCES administration after reviewing all relevant factors.
Transition Plan & Follow-Up – If approved, a transition plan should be put in place to support the student’s adjustment. This could involve tutoring, peer support, or a probationary period. Schools often conduct a follow-up review after a few months to ensure the student is thriving in the new grade.
As a note, a similar process would need to be followed for any student not advancing or potential retention/repetition of grade levels.
