Parent imports

In ALMA, you will be inserting information on Parents.

You have two options to get parent information in Alma:

1) You can send the following link out to ALL of your parents after enrollment.

- - - Instructions are on the form.
    - One parent per form!
    - This is how we will get parents into ALMA for you without you having to do the parent import.
    - Once this is filled out - WE will receive the notification and information
    - Then we will upload your parents to ALMA for you!

2) If you don't want to use the form above, you will need to do your own parent imports

You will use the import tool in Alma
You can find this template in your Alma platform by going to "imports" - then scroll to parents
Then on the right - you can see where it says "need a blank template for parent records- download one here" (shown below)
Reminder - you can't import parents until you have the students in Alma. You have to use an Alma identifier to tie the parents to in the system - and we will need to help you with this!!!

Regarding us collecting parent information:

In the state of Colorado, information about the legal guardian or parent is required for student enrollment. Since all of our programs are now required to register through Alma, this information must be collected as part of the registration process. Additionally, because your program is part of the overarching ERBOCES school and part of our district code, we need to have that information in our own records.

Collecting guardian information also enables us, at the BOCES level, to ensure that any sensitive information, such as registration details, transcripts, or participation in special programs, is shared only with the appropriate legal guardian. This is a critical requirement for our special programs. While it may not be necessary for HSE specifically, there are numerous situations, such as legal proceedings or state complaints, where it's essential to have accurate guardian contact information to confirm identity or obtain consent.

As a final note, if you are worried about sharing sensitive information with the state, we will NOT share any information with the state that is not absolutely required. We do our best to create a clear separation between our needs and what the state needs.

ALMA Start

This is an add on feature that allows for parents to complete online registration through ALMA and all data will go into the system.

This would replace any current enrollment forms you have and replace any import process.

If a school wants to purchase Alma Start, that will be a per school add-on purchase, for the school year.

The pricing on that is based on current enrollment, which they fall into either a $1000 minimum for the year, or $3.25/student pricing based on enrollment.
