All staff members must sign a policies and procedure agreement at the beginning of each school year when logging onto a CMS computer for the first time. By accepting the use of technology at Metro School, staff members have a responsibility to uphold policies and procedures for maintaining this equipment. No set of rules can address all forms of maintenance of the technology. However, generally speaking, Metro School expects each of its employees to act in a professional and responsible manner at all times when using technology. Inventory and technology procedures are set forth in the guidelines below.
Metro School has a limited number of chromebooks for staff use. One chromebook will be assigned to each homeroom for teacher assistants to utilize for instructional and/or work related purposes only. This could include checking CMS email, maintaining data records for the classroom, completing necessary training/online modules, and creating instructional activities for classroom use.
Chromebooks are NOT to leave the building and must remain in the classroom assigned. This is to ensure that all teacher assistants have access to a computer during the school day. Chromebooks should be locked in a cabinet at the end of each school day to maintain security.
Copiers: Metro School has two Toshiba copiers for staff use
All desktop computers have been set to these copiers for printing capabilities. Expectations are as follows:
1. Only copy what is necessary. Do not make excess copies as it is imperative that we keep costs at a minimum.
2. If the copier is not working properly, notify the Treasurer II and/or the Technology Facilitator. Do not simply leave the copier jammed or broken without notifying the above persons.
3. Toner and paper needs should be directed to the Treasurer II.
4. Any documents printed, or copied, that contains student information can NOT be left at the copier. This is a violation of FERPA (Family Educational Rights and Privacy Act) Federal Law.
How to get copies: CMS continues to use a “centralized” WiFi copier system. Teacher laptops will have printer drivers installed. Our Technology Facilitator, can assist you to ensure your laptop has been properly configured. Your CT/PLC teammates or mentor can assist with showing you how to initiate the printing process.
There are two (2) centralized copiers:
1- Copy Machine in Media Center - Workroom (shown in your “connect to printer” option)
2 -Copy Machine in Related Services Suite workroom (shown in your “connect to printer” option)
PLAN AHEAD… centralized printing results in your “print request” being sent to the printer queue; this means your request is processed along with anyone else sending a print request, therefore printing is not “instantaneous”.
All staff members have been assigned a Google account through CMS. Your username/email is your CMS email. Your initial password is Cm$***** (* = last 5 digits of your Social Security Number). If you are having trouble logging into your CMS Google account you should email helpdesk@cms.k12.nc.us with your CMS email address and the issue you are having with accessing your Google account or complete a ticket in Cherwell through the CMS Intranet.
Metro School has district iPads for student use. The Technology Facilitator will assign iPads to each classroom, along with a charging cart or charging cords. Expectations and procedures for iPads are:
1. Assigned student iPads are to be used by students for educational and communication purposes during instructional time.
2. Cases and screen covers are to remain on all iPads at ALL times. If cases/covers are removed and the iPad is damaged, CMS will NOT repair or replace the iPad.
3. Charging carts, iPads, and charging cords are to remain in the classroom to which they are assigned. Do NOT move these items from room to room, as this will cause an issue when technology is audited.
4. When iPads are in use by students, staff should be monitoring their use and ensure that all iPads are returned to the charging cart after use. If you do not have a charging cart, iPads must be stored in a locked cabinet at the end of each day to ensure security.
5. Any missing or damaged devices should be immediately reported to the Technology Facilitator.
6. To request an education or communication app be added to your classroom iPads please see or email our Technology Facilitator for support.
All technology is inventoried and assigned to specific locations throughout the school building in a platform entitled MyIT. Do not move, or trade, any devices or equipment without administrative authorization. All employees are to report any damage, loss, theft, or addition of items to Administration and the Technology Facilitator. All school equipment and technology is tagged and inventoried as property of Charlotte-Mecklenburg Schools. Technology devices are tagged with a white asset tag, which should not be removed for any reason. If you find a device that does not have a white asset tag, you must notify the Technology Facilitator so that a replacement tag can be ordered.
All certified teachers are provided with a district assigned laptop. This laptop remains with the teacher as long as they remain employed in the district. Upon resigning from the district, the laptop must be turned in to administration. At this time, Instructional Assistants are not provided with a district device but can use classroom assigned devices, as needed, for school related purposes.
The Technology Facilitator will reply to your request via google form within 24 hours. For issues regarding staff passwords for various accounts, please visit the Cherwell platform on the CMS Intranet to complete a ticket for support. The Technology Facilitator is full-time this year and is at Metro School every day 7:20am to 3:15pm.
