Gmail is Google's email app. While SUSD still uses Outlook Exchange as its primary email system, Gmail has many functions which can be utilized, especially in conjunction with notifications from other Google Apps and communications with students. All students grades 8-12 have @susdgapps.org email addresses!

Gmail Terminology

Learning Gmail-related terminology will help to improve your usage skills. Click HERE to complete the Quizlet practice and test for this module. Functions of Gmail for SUSD

Gmail accounts are useful for these purposes and more:

  • Receive notifications from other Google Apps, like Classroom and Forms
    • Set your notification preferences in each app
    • Set notification preferences for specific documents in Drive
  • Communicate with students
    • Email whole classes at once through the Classroom app
    • Email individual students through Gmail
  • Use your Gmail address for subscriptions to avoid overloading your susd.org mailbox in Outlook Exchange

What to Do if You Don't Often Check Your Gmail

You have a few options for how to handle your Gmail if you do not intend to check it often.

  • Forward Gmail to your Outlook Exchange account - note that this will take up more space in Outlook, and space is limited there, unlike Google
  • Add Gmail to Outlook as a separate account - this makes it easier to remember to check it because you don't have to open your browser
  • Enable "Desktop Notifications" to alert you when you receive an email.
  • Set a "Vacation Response" in your Gmail settings to notify people that this is not your primary email.

Gmail Settings Tips

Click on the gear icon under your username or image in the top right corner:

  • Set a signature
  • Add your picture
  • Settings open to "General," but notice the menu tabs in blue lettering across the top of your Settings page. You have more options than just the General settings.
  • Add a theme (background style)
  • Check out "Labs" for additional features

Domain-specific tips:

  • Keep in mind, if you are sending email to other susdgapps.org addresses, usernames which include a number are students and those which do not contain a number are for staff members.
  • Duplicate names often exist, so choose from the suggested usernames carefully.
  • If you are sharing anything "Google," use the person's @susdgapps account, NOT @susd.
