Your research will often require you to travel, including for the compulsory iGGi modules and the conference but also for any other conferences you are accepted to during your time at iGGi.
For all researchers in receipt of a stipend, travel for the modules and the iGGi conference is covered by iGGi, who will contact you prior to the event to request your travel requirements. Any travel for conferences at which you are presenting a paper or attending (with the exception of the iGGi conference) are covered by your personal conference funding pot. If any such conferences are held abroad, please be aware that there are some extra steps you need to take [see Insurance/Travel Log section below].
For all researchers in receipt of a stipend, iGGi will cover the cost of travel to any modules and the iGGi conference if this is taking place at a different iGGi site than your home university.
You will usually be contacted well in advance of these events with a request to complete a form with your travel requirements. Please complete this in good time so that arrangements can be made.
In line with university policy, iGGi will book the most cost-effective option for travel, therefore tickets will be booked as advance singles. This means that you must travel on the specified train and amendments unfortunately cannot be made once the booking is confirmed unless there are exceptional circumstances, so please do ensure that your provide accurate information as to your travel requirements. If an amendment is absolutely necessary, please let iGGi admin know as soon as possible.
Train tickets will typically be provided as e-tickets, unless you request otherwise. An email will be sent to you from Selective Travel which contains your e-tickets. If you have been sent a booking confirmation but have not received your tickets, please first check your spam folder (search for the eticket reference provided) and contact iggi admin if you still have not received anything/cannot find them.
To make sure that travel is as cost effective as possible, iGGi researchers are requested to purchase a Railcard. There are various different types of railcard but you will most likely be eligible for one of the following:
26-30: this can be purchased any time before your 31st birthday and used until it expires, even if this is after you have turned 31. It is only available for a year and must be renewed each year.
16-25: available for anyone ages 16-25 OR aged 26 and over in full-time education. In the latter case you can only apply for one year and will need to complete a registration form found on the 16-25 railcard website. If you are applying as a student the application form will need to be stamped and signed by a university administrator and you are only eligible for the one year railcard, not the three year eligibility for those within the 16-25 age range.
Although travel and travel related costs typically have to paid for directly by the university finance team, in the case of Railcards you can make the purchase yourself and claim back the cost via the expenses procedure.
If you are travelling for research undertaken as part of your work at your institution, you will need travel insurance. This is provided by your university but there are forms which need completing:
For York researchers, you will need to complete a travel log at least 48 hours in advance of travelling. This is available on the York website under the 'travel log' button.
The site also provides further details about changing/updating your travel log and the privacy notice regarding the data collected as part of the form.
QMUL
QMUL researchers must complete an insurance form in advance of their overseas travel. The form and further details about the university insurance policy are available on the QMUL website. If the insurance or risk assessment form requires a signature from the trip approver, this ought to be done by your primary supervisor in the first instance. If they are not available please contact iGGi admin.
