NICU Sessions

• Only enter NICU moms into the Dashboard on the day you complete the consent form, which should be the same day you are planning to do the photo session.

This means:

•  Give NICU moms their flyers as usual. (The Sorry We Missed You flyer)- they will call customer service when they know their discharge date to schedule a photoshoot. 

• When you go to do the session, then add them to the Dashboard.

• Do not enter NICU moms from the census ahead of time.

NICU Journals are completed at some of our hospitals when the baby is staying 12 weeks or longer. 

For this, a parent will fill out the consent form either on paper or digitally. The photographer will visit the baby in the NICU weekly and capture 3-5 photos to document their growth. These photos will be uploaded each week to their existing gallery. 

Process: 

• Capture 1-time consent form

• Take 3-5 photos weekly

• Upload photos to existing gallery

• Hit 'Update Gallery'

• You can extend their expiration date from the normal 14 days to 1 month (longer if needed). 

• Once family has discharge information, you can complete a normal session and add it to their gallery. 

• The family will get a free collage that is to be emailed to them at the end of their journey with us. 

  • In Darkroom, create a collage (under templates in Darkroom)  and upload to their gallery

  • There are two options to get their collage-

    • Physical Print- under products, select NICU Chronicle 10x8 Print, add to cart and complete order. This will incur a standard shipping fee, where applicable.

    • Digitally- Email the collage to their verified email, mark fulfilled under the Fulfillment Tab. 

*Please note- Ideally, it's the same photographer each time to reduce gallery transfers. There is NO photo cap, but if they purchase a photobook, it will be capped at 25 images, and they will be contacted to choose their preferred 25.
