The VTRC-A building operations team manages access and keys for the Arlington building. When a new hire joins, Danielle completes the building onboarding form with the employee’s information, including name, VT email, PID, VT ID Number, position title and type, space assignment, and start date. This form is then submitted to the building operations team for system entry, and a building orientation meeting is scheduled for the employee’s first day. During this orientation, the new hire receives information on building emergency plans and other essential details about working in the VTRC-A. The building operations team also assigns any necessary keys and typically provides a temporary fob for building access until the employee receives their HokiePassport.
To obtain a HokiePassport in Northern Virginia, employees must go to the DC Hokie One Stop located in the Innovation Campus Academic Building One, 3625 Potomac Ave, Alexandria, VA 22305. Employees may go to the Hokie One Stop without an appointment during their business hours Monday and Wednesday, 9 am to 6 pm; Tuesday, Thursday, & Friday, 9 am to 5 pm please ensure that you bring an official photo ID with you. Office Hours may change be sure to check the Hokie One Stop website before going to get your HokiePassport made. HokiePassports for the Arlington building must be of the PS type. If obtaining a HokiePassport in Blacksburg, employees may need to request this specific type to ensure successful building access.
If anyone is visiting the Arlington building and does not have access, please contact Danielle, who can provide temporary access fobs as needed.

The building’s three-level underground parking garage is managed externally, with varying rates per hour or day. Monthly parking passes are available from the attendant on parking level 1 (P1). Monthly parkers receive an access card but are not guaranteed a parking space.
Current Parking Rates
Monthly: $116.50 per month (Employees with monthly parking can access the garage 24/7 with their electronic key). Given the daily rate of $12 and the monthly rate of $111.50, it is most beneficial to obtain a pass if you plan to park at the office at least 10 days a month (or about 3 days/week). To obtain a monthly parking pass, visit LAZ Parking, select Virginia Tech Research Center, and complete the steps for setting up payment. LAZ will then contact you to provide your electronic key for the garage.

Bike Parking: Bicycles should enter and exit through the ramp to the parking garage at the back of the building. Bicycles are not permitted through the front lobby entrance. There is a bicycle storage cage on the P1 level, managed by the building and accessed using the building badge/fob.
Capacity: 14 people around the table and have extra chairs added to fit a maximum of 20 people comfortably.

Both the Conference Room and Huddle Room can be booked via Outlook calendar by listing the appropriate location name in your calendar invite. The location names are provided below. You can also add the room calendars to your shared calendars list to check room availability using the same names.

There are also other conference rooms on floors 3-6 that can be booked by emailing the building facilities team vt-ncr-arlington-facilities-g@vt.edu. The closest conference room to the VTNSI suite that is booked through building facilities is 6-024 and is of similar size and set up to the VTNSI conference room.
If you would like to inquire about using the Executive Briefing Center (EBC) on the 2nd floor for larger meetings you can either email dkauffman@vt.edu, or reach out to the Manager of the EBC, Larissa LaCour at llacour@vt.edu.
Campus Mail is delivered on the 2nd floor near the reception desk. VTNSI has its own mailbox in the mail room where all mail for VTNSI employees is placed by the building facilities team.
If receiving a package, you may receive an email from the building facilities team letting you know you have a package, your package will be located in the mail room for pick up and should have your name on a sticky note so you can find it easily.

Outgoing Mail: USPS mail (letters) can be placed in the outgoing mailbox to the left of the departmental mailboxes on the counter in the mailroom.
For Campus Mail to Blacksburg: there is a mail pouch positioned on the counter in the mailroom. Place the items to be sent in an interoffice envelope (also available in the mailroom) and mark the individuals name and mail code that you are sending it to and then place it in the mail pouch for campus mail. The pouch is typically picked up by 3pm each Friday and sent down to Blacksburg.
For FedEx or UPS: email nsifinance@vt.edu to request a shipping label and pack up your package and adhere the label to the outside. There is a selection of some envelopes and label sleeves in the mailroom, but you may need to provide your own packing materials depending upon what you are sending. When you package is ready to be sent out be sure to request a pick up from the applicable carrier and then take the package down to the mailroom and ask the receptionist where best to place the package for pickup and they will assist you.
3 Assembly Areas
Standard: Bus Stop in front of George Washington Building (turn left upon exiting the front of the building and the bus stop is between our building and the GW building)
In front of Citizens Bank in the Accenture Building (turn right upon exiting the front of the building and the Accenture Building is the first building after you cross 9th Street, Citizens Bank is on the first floor and can be seen from the street)
In front of the Westin Hotel (upon exiting the front of the building, cross N Glebe Rd and the Westin hotel is on the other side of the marked crosswalk near 9th St)
First Aid Kit – The first aid kit and eyewash station is located in the VTNSI lab (6-301), both items are on a bookshelf that is located along the front wall when you enter.
AED – On the 6th floor, there is an AED down the hall from the VTNSI suite; upon exiting the front door of the suite turn left and the AED is down the hall on the right near the area with a countertop and mini fridge.
The lab is located in room 6-301. Any employee with access to the suite has access to the lab. Computers located in the lab are managed by VTNSI IT and access must be requested to use them. The names of most of the machines are on the tower and can be used when contacting IT.
The lab also houses other IT equipment such as spare monitors, keyboards, mice, cables, etc. Most small items (keyboards, mice, cables) can be taken for use as needed but monitors should be requested through dkauffman@vt.edu for tracking purposes.
