Since the introduction of megaservers, all players of the same region can play together in PvE; which server they are on does not matter anymore. However, the two big regions of NA (North American servers) and EU (European servers) are still split. Along with that, players have found different ways to kill the three wurms and organize the event.
The differences shown here are based on experiences with the TT runs at 1:00 and 4:00 AM UTC (1h and 4h after server reset) on NA servers from the perspective of an EU player.
The times mentioned below apply to one of the runs with escorts starting at xx:05 and are not 100% set. But they should give you an idea of approximately when and how things are organized.
This information will be more interesting to the wurm enthusiasts and players who have changed from one region to the other one or have multiple accounts. If you are still fairly new to the event, check out the Event info section!
EU
some time before: commanders decide who takes which head
xx:10 - 20: commanders tag up and list LFGs (no map taxi);
meanwhile sorting blockers (and condis if any, but mostly there is just 1 full blocker and possible back-up's running with the main squad), blockers usually join the 2nd subgroup / most commanders join the 2nd group as well
xx:45: start explanations
xx:05 (or earlier, when explanations are done): returning to the main WP, getting buffs, moving to the escort start locations (first eggs) together
NA
xx:30: map taxi up (someone tags up to start getting people onto the map, doesn’t need to be one of the later commanders); in the meantime, commanders decide who takes which head; someone tags up for defense (squad for sorting condis and blockers, who usually stay in this squad)
xx:50 - 55: commanders tag up and list lfg if the map is not full/more players are needed; map taxi squad closes
xx:00 - 05: taking buffs at main WP, commanders start explanations in their arenas, a few players stay back for the escort and meet with the others in the arena
EU
Sorting commanders: discord, ingame whispers
Sorting defense: blockers and condis join the main squad, commanders check their numbers via TS/discord voice chat, ingame whisper
Squad numbers: keeping LFGs open, often full squads
Explanations: squad chat (+ voice); detailed description of what will happen and what needs to be done
Cobalt keg spot names: beach - jumping puzzle/jp - mast/plank
Squad communication: mostly squad chat/broadcast and say chat (+ voice chat); short sentences/points to remind people of what was explained before
Comm coordination during the event: mostly in voice chat, if not ingame whisper (no map chat)
Decap coordination: each comm says when they are ready, Amber comm confirms whenever all said "ready"
Recap: by commanders on voice

Sorting commanders: map chat, guild chat, possibly defense squad, whispers
Sorting defense: blockers and condis organize themselves in the defense squad
Squad numbers: aiming for at least 35 at Amber, 30 at Cobalt, 25 at Crimson
Explanations: squad chat; mainly explaining which calls will be used during the run and what the squad should do
Cobalt keg spot names: easy - hard - pole
Squad communication: mostly squad chat/broadcast, maybe say chat; short calls based on previous explanation
Comm coordination during the event: mostly in map chat, no voice chat (possibly guild chat)
Decap coordination: “crit” call when wurm is low, commanders agree on a time for Amber to go in map chat
Recap: by commanders and defense in recap-squad
