1. How to upload the inventory quantity for each SKU?
Please refer to the slideshow below to understand how to upload the inventory quantity for each SKU in the Seller Portal. Alternatively, please click the link below to view or download the inventory upload guide.

To download the file, click File > Download after clicking the link above.
All sellers will receive an email alert when the SKUs’ inventory on FairPrice Marketplace have fallen below our recommended level.
The email alert will be sent twice a day at 8am and 1pm for SKUs with low inventory in your store. You can download the attached Excel spreadsheet for the list of SKUs with low inventory.
Below is an example of the alert email for your reference.
If you receive this low inventory email alert, please proceed to update the inventory for these SKUs as soon as possible. This will also help you to ensure a higher fulfillment rate.
2. Where to find and download the inventory template in order to fill in the required SKUs and quantities?
In the Supplier Portal Article Inventory page, click on Download Template.
The template should look like the one shown below.
Under the ‘Articles’ field enter the list of SKU numbers.
Under the ‘Quantity’ field enter the stock quantity for each respective SKU.
💡 Tip
Download and keep an inventory template with all your SKUs in your computer so that you won't have to download a template every time you update your inventory.
3. Will the number of stocks in the inventory template upload overwrite the current stock level?
Yes, it will overwrite and not add on to the current stock level.
4. How to check the current stock level?
The Inventory Status Report can be downloaded from the Supplier Portal. Please refer to the FAQ section below "How to download the inventory report?" for more details.
Important: From 4th March 2021 onwards, the daily Inventory Balance email reports (sent at 9am, 12nn, and 7pm) would be discontinued. To view the current inventory status, please download the Inventory Status Report from the Supplier Portal.
5. How to download the inventory report?
In the Supplier Portal Main Page, click on Inventory Status (under the Inventory tab).
Once the below Article Inventory screen appears, click on Download Report to begin the inventory report download.
The report should appear in your local Downloads folder.
Please note that the latest inventory numbers may take up to an hour to be refreshed.
6. How to read the downloaded inventory report?
In the Online Stock column, the values seen in the inventory status report displays the remaining quantity available for customers to order. The values should be the same as seen in the Article Inventory screen in the Supplier Portal.
What does this mean? E.g. SKU 90032915, you have uploaded 10 inventory because you have 10 stocks on hand. However, customers have already placed orders for 8 units of this SKU, hence the inventory balance report here will show 2.
In the marketplace model, these items may not necessarily be picked immediately, but we will only collect them 2 days before the customer's chosen delivery date, so these 10 stocks will still be sitting at your warehouse, but 8 are "reserved stock" for customers who have already placed an order.
Please note that upon the SKU Online Stock value reaching 0, the SKU would be seen to show "Out of Stock" on the Fairprice Online platform.
If the SKU Online Stock value still remains at 0 after 14 days, the Current SKU Active status would automatically change to Hidden status. This means that the SKU would not be able to be seen on the Fairprice Online platform after 14 days.
7. How to "un-hide" hidden SKUs so customers can see them again on the Fairprice Online platform?
Once inventory is uploaded for the SKU, it will automatically be toggled by the system to be searchable again by the end of day.
Do note that items that are Out-of-Stock (OOS) for 5 consecutive days will be hidden.
The SKU will be enabled and visible ONLINE once the stocks have been uploaded.
8. How to check if these stocks are reserved?
The Forecast Report can be used to check if there are any reservations made on future dates (up to 6 days ahead). The report can also be downloaded from the Supplier Portal.
Important: Please note that these reservation numbers may still be changed or cancelled by the customer, and that the Forecast Report should be used only as an a rough estimation of future demand.
9. How to view or download the Forecast Report?
In the Supplier Portal Main Page, click on Forecast Report (under the Reports tab). To download the report, click on Download.
