You will be added to ClickUp shortly after your start date. We utilize this platform to assign tasks, follow up on incidents, and monitor our routine duties. You can access ClickUp by clicking here.
On the left panel of the screen you will see all of the "spaces" that you've been added to. Some pertain to administrative duties by upper management or site level projects, while others are tied in with departments such as Human Resources. Contained within each Space will be a number of Lists.
If you do not see your Spaces listed, they're likely collapsed into the left panel. You will see an icon like the one displayed on the left here; click it to expand your Spaces.
The lists are what drill down into the actual theme of the tasks at hand. For example, in the New Stores "space" you will see Lists for those new stores that are "In Progress" and those that are "Completed". The Lists help to organize each item within the space. Contained in each List will be the Tasks.
These are the actionable items. Some tasks may have multiple Subtasks or Action Items, and you may be responsible for all of the Subtasks/Action Items or you may only be the assignee on a few of them. You can see out beside each Task/Subtask/Action Item who it is Assigned To. You may also use the "Me Mode" option to only see those tasks which are assigned to you, and hiding the tasks that might be for someone else.
Each task will have a set of statuses, such as "In Progress", "Pending Approval", "Complete", etc. It's important that you keep each task status updated so that upper management can easily check your progress. To change the task status, simply click on the current status and a list of other status options will populate. You may select the proper updated status from that list.
You may also leave comments on each task. If you need to tag someone in a comment, simply type the "@" symbol and begin typing in a name. A list of names will show up and you can select a coworker or supervisor to tag if you need them to review something on that particular task.
Lastly, you may drag-and-drop files into the tasks as well. PDFs, Images, and even Outlook Emails with their attachments can be uploaded into the task for reference and/or documentation.
One really neat thing about ClickUp is that you can also email tasks to a list. This makes it a great way to keep track of your own personal tasks within your daily operations, even if they're not attached to an established project. When you send an email to the Space it will automatically create a new task from that email and you can follow up on it within ClickUp.
To create your own Space and retrieve the customized email address for your space:
On the left panel, in the Spaces section, click the "+" sign to add a new space. You can make it Private so only you can see it, or you can include others in the space if desired. You do not need to adjust the "Define your workflow" settings - it's fine to leave them at their default.
Once your space is setup, it will show in the left panel with all your other spaces. It will also automatically create a List. (You'll see "List" written underneath your space name.
Hover over the "List" that was created and click the three dots that appear to the right.
In the pop up window select "Email to List"
A customized email address will come up on the screen. Copy that email address.
Return to your Outlook and setup a new Contact using that email address. You may name it similar to "Jessica's Space" or something similar & easy.
From now on, you can forward an email or create a new email and send it to the contact you just created. Attachments and everything will come over with the Task.
