Bi-Weekly CTC Meetings (every other week) 2024-2025
Every other week for 90 minutes (10-11:30 am) on either Wednesday or Thursday
To assist you with scheduling, the same training will be offered twice each week – once on Wednesday and once on Thursday, but CTCs will only have to attend one of the two options.
On occasion, a CTC who fills more than one CTC role (State Aligned CTC, Non-State Aligned CTC, or Advanced Academics CTC) might have to attend both meetings during the week to receive all training content for the week.
For example, for the week of 8/21-8/22 we are covering two topics simultaneously – BOY testing for K-8 and ACT/SAT planning for Advanced Academics. If a CTC is both the CTC for BOY K-8 testing (non-state aligned testing) and the Advanced Academics CTC, then they will need to attend both days in-order to receive both training courses.

Agenda- Typical Meeting Set Up
Not all CTCs will need to attend the entire training session every week. We will always start whole group with all CTCs for general updates, announcements, and action items (approximately 30 minutes) – We will then transition to that week’s training focus/topic which might not require all CTCs to stay in the meeting. We will do our best to send out meeting topics the week before so CTCs can plan appropriately. We also have a general overview of the year (meetings dates information); however, these training topics may be subject to change.
Welcome (all CTCs)
Communicate Tasks & Deadlines (All CTCs)
Introduction of new content – Topic/Training of the Week (May not be All CTCs depending on topic)
Break-out rooms for guided worktime
Questions & Problem Solving
Team Collaboration
Reminders of Tasks & Deadlines
Mandatory Attendance
All CTC training is mandatory. We know and understand that CTCs play many vital roles on campus and that time is a valuable and scarce resource, but in order to be set you and your campus up for success you must attend all meetings. If you are unable to attend a meeting, your backup CTC or another member of the campus leadership team will be required to attend in your place. You and your campus are still responsible for all deadlines, action items, and content covered each week. For your convenience, we will record each training session and post it to the testing hub. However, watching a recorded session is not the same as participating live. If we notice a pattern of non-attendance, then a meeting with the CTC, SL, SLM and RAC will be initiated.
Absence Policy
Life happens – if for any reason you will not be able to attend either Wed/Thus meeting for the week you must do the following things:
Let your RAC know in advance.
Find someone from your campus leadership team (preferably your backup CTC or another CTC from your campus) to attend the meeting in your place. Let your RAC know who this will be.
Watch the recording of the meeting and review all meeting materials on your own.
Schedule a 1:1 follow up with your RAC to go over any remaining questions.
Chronic absenteeism from bi-weekly meetings will result in a follow-up conversation with SL, SLM, CTC, and RAC to problem solve and look for solutions.
Other Helpful Documents
CTC- Bi-weekly Training Topics Long Term Plan - CTCs will meet every other week on either Wednesday or Thursday from 10:00-11:30. This is a proposed list of training dates and topics. The topic of each week's training may change due to the needs of our CTCs. We will send an email out to all CTCs the week before on the upcoming week's training topic(s) and which CTCs are required to attend.
Headline: This spreadsheet is the signup sheet for SY 2024-2025 Assessment Team Master Classes. CTCs should select the Master Class topic tab below and sign up for a time slot. Sign up is first come first reserved.
Audience: ALL State Aligned CTCs
Details:
KTX Assessment Master Classes are REQUIRED for all applicable CTCs.
These classes are smaller virtual gatherings in which we do guided interactive training.
These Master Classes are based on certain skills or platforms that need to be mastered in order to effectively administer our assessments.
Attendance at Mastery Classes is mandatory for the entire time slot you sign up for and mandatory for all applicable CTCs.
Mastery classes are different from Office Hours where you can drop in at any time during the time block.
Master classes require active participation (it is we do, you do and you have tasks that must be completed by the end of the session); therefore, CTCs must make arrangements to cover any other obligations, duties, etc. during their assigned training time or they will be asked to attend an additional training.
For certain Master Classes, CTCs who have previously administered the Assessment and have previously completed the skill/platform specific training may be allowed to check in with RACs during their assigned slot and leave early. This will be on a case by case basis.
Please see the topic sign up for any additional topic specific directions as required.
