Group Meeting Minutes

Our next group meeting will be on Wednesday, January 23rd from 7 - 8:30pm at the Fire Hall. Public is welcome to attend. We'll work through the agenda items as a group, and then save time at the end for questions/comments from folks who attend the meeting.


In attendance: Jeff Aho, Brad Garrett, Mikaila Way

Absent: Cless Woodard, Andrew Kurkinen

Agenda & Notes:

1. Updates since Dec. 10th meeting:

    • January update from Rob
    • extension request approved by the Board
    • presentation dates set : Feb. 25th (Special Board Meeting), Feb. 26th & March 8th for the community meetings
    • The School Board requested they receive a hard copy of the report at the meeting on Feb. 25th instead of receiving it electronically the morning of the meeting. It was agreed that Mr. Saxton will hand-out hard copies at the meeting, and the report will be posted on this website the evening of Feb. 25th.
    • Mr. Saxton estimates his report will be 40 pages written with additional addendum sections. Due to the length of the report and associated printing costs, Mr. Saxton will not be providing copies for the audiences of these meetings. The full report will be available on this website. We have requested and Mr. Saxton is working on writing a one-page hand-out that will be available for audience members.

2. Make a plan, timeline & delegate tasks to post notices & spread the word about Rob Saxton's presentations (newspapers, flyers, print-outs, phone tree, reaching out to groups in Corbett)

    • Mikaila, Jeff and Brad discussed and formulated a plan for outreach efforts leading up to the presentations. Outreach and publicity efforts will include posting flyers and quarter sheet hand-outs at all key public locations in Corbett and Springdale. Emails will also be sent to the school mailing list along with other groups, and mailing lists in Corbett.
    • Mikaila is looking into the logistics and costs associated with a Corbett mailer.
    • It was agreed these flyers and hand-outs will be done by our Feb. 4th meeting, and posted that week - 3 weeks in advance of the meetings.
    • Mikaila has shared the dates and meeting details with the Outlook education reporter.
    • The meeting dates and details will be printed in the next school newsletter scheduled to be arrive in mailboxes on Jan. 29th or 30th.
    • Dr. Trani and Mikaila have agreed to write and send an email to all school families and district staff in early February about the upcoming meetings.

3. Making Rob's report available on our website on Feb. 25th pm (Brad) ; anything else we want to discuss regarding making the report available for the meetings

    • Brad will work with Mr. Saxton to make the report available on our website by the evening of Feb. 25th. . Brad is also going to look into how the community meeting on Feb. 26th can be video recorded and posted on this website.

4. AV needs & coordination with Rob, the school & CCC (Jeff)

    • Jeff has had conversations with Rob, Randy and Pastor Auble at the CCC about AV set up for these presentations. He has formulated a plan on equipment, test runs and scheduling. Brad will bring a back-up set up.

Other business:

What is the role of IC3S after the presentations?

  • Jeff, Brad and Mikaila discussed this question and agreed it is one to continue with the whole group. Collectively, they feel there will be some role for IC3S to fill in the continuation of this conversation once we have all heard the report and are figuring out next steps to take based on the information and recommendations. They also feel it will be important for IC3S have a "debrief meeting" and follow up conversations with the School Board, Admin. and community after the report presentations. All three feel it will be important to have time to process the report after hearing and reading it, with follow up discussions and collaborative conversations. It will be important to come up with the "next steps" after hearing, processing and debriefing.

Setting ground rules & setting the tone at the presentation:

  • All three agreed that it will be important for IC3S group members to open the presentation meetings with establishing some ground rules of respect, civility and a willingness to listen with an open mind. We also briefly discussed a way to collect questions/comments during the meeting that will allow for audience members to submit them while also keeping the presentation going, and a way to identify common questions that arise.


Next Steps:

Brad - will follow up on video set up

Mikaila & Jeff - will work together to design and write the flyer and email content

Mikaila - will figure out the location for the Feb. 4th meeting, and reach out to Board Chair about setting dates for a "debrief" meeting.
