TAP CRM User Guide - Dashboard Overview

As a Business Owner, an Adviser or an Adviser Manager, once you're logged in, you will be directed to your 'Dashboard'. Your Dashboard should be a reflection of your business. You are able to add multiple widgets to your dashboard or you can choose to view a holistic overview of the entire business or filter your Dashboard to show data for a specific adviser or group of advisers.

Customising Your Dashboard

Add/Remove Widgets:

- - Click on Add/Remove Widgets to choose which widgets you’d like displayed. Simply tick or untick the corresponding boxes, then click Apply to save your changes. (See image above)

Adviser Filter:

- - Click on the Adviser box on the top right-hand side to select one or more advisers
  - Or tick the See All Advisers box to display data for all advisers

You can customise your Dashboard by adding the widgets that matter most to you and your business. Below is a list of widgets you can add to your Dashboard:

These widgets can be classified into:

Let’s begin by exploring the standard widgets - these can be applied to your Dashboard regardless of the services offered by advisers in your business.

Goal Tracker

Client Birthdays

Shows Clients that have a Birthday within the noted date range and displays the client's Name, Birthday and Age
Use the Date box to select the date range you'd like to show - this automatically defaults to show all the birthdays in the next week.
By clicking on the Client Name Entity, you will be taken to the corresponding client's profile

Activities

Accessing an Activity: Click on the Date, Activity Name, or Client Name to open the activity within the corresponding client’s file.
Filtering by Date: Use the Date box to set the date range you’d like to display. By default, this shows all pending activities due in the last 2 weeks.
Scheduling a New Activity: Click the Calendar icon to schedule a new activity. This will open the Activity pop-up window where you can enter details.
Updating Activities: Click Complete or Cancel to update the status of a task accordingly.

Pipelines

Use the Dropdown Box to switch between Life & Risk Insurance, Mortgages & KiwiSaver, F&G Insurance & Investment whichever is applicable

Life & Risk Insurance Pipeline: Shows the number of policies and the total API currently pending with the Status Lead, First Meeting, Submitted, Underwriting, Notes/Tests Required, Offer of Terms & Policy Accepted.
Mortgage Pipeline: Shows the number of deals and the total lending currently pending with the status Mortgage Enquiry, Awaiting Application, Application Received, Loan Application Submitted, Information Required, Pre-Approved LOO, Conditional LOO & Unconditional LOO.
KiwiSaver Pipeline: Shows the number of funds currently pending with the status Lead, Submitted & Info Required
F&G Insurance: Pipeline shows the total amount of Premium, Leads made, Contact made, Infor Requested, Quoted, Underwriting, Offer of terms and Policy Accepted.
Investment: Shows the number of funds currently pending with the status Lead, Submitted & Info Required.

By clicking on any of the status', you will be taken through to view the policies, deals or funds via the corresponding 'Pipeline' view, which shows the breakdown and more specific information.

Goal Tracker

There are six types of Goals Widgets available:

L&R Insurance CY (Calendar Year: January - December)
L&R Insurance FY (Financial Year: April–March)
KiwiSaver
Mortgage - Quarter and Year
Monthly Mortgage
F&G Goal Track - Domestic
F&G Goal Track - Commercial

Setting Goals:

- Goals for these widgets can be set within User Profiles → Business Dashboard.
- If you don’t have access to this section, please ask your Business Owner to update them for you.

How Each Widget Works:

- L&R Insurance (CY & FY): Shows Inforce Policies written by you, with a Start Date in the current calendar or financial year.
- KiwiSaver: Shows Completed Funds with a Start Date in the current calendar year.
- Mortgage - Quarter and Year: Displays Current Mortgages and Drawn Down/Settled Loans written by you, with a Drawdown Date in the current calendar year.
- Monthly Mortgage: Tracks deals across a rolling three-month span (previous, current, and next month):
  - - - Previous Month: Mortgages and Drawn Down/Settled Loans with a Drawdown Date in the previous month.
      - Current Month: Mortgages and Drawn Down/Settled Loans with a Drawdown Date in the current month.
      - Next Month: Pending Loans with an Expected Drawdown Date in the next month.
- F&G NB Commercial: Shows Inforce Commercial Policies with a First Policy Date in the current calendar year.
- F&G NB Domestic: Shows Inforce Domestic Policies with a First Policy Date in the current calendar year.

L&R Anniversaries

This widget displays Insurance Policies that have an upcoming Anniversary Date within the selected date range. It shows:

Policy Owner Name
Annual Premium Income (API)
Insurer

How to use it:

Use the Date box to select your preferred date range (defaults to the next 2 weeks).
Click on the Policy Owner Name to open the client’s profile and view the relevant Insurance Policy with the upcoming Anniversary Date.

L&R Commission Tracker

L&R Commissions - Financial YTD, Current Quarter & Current Month

Shows all policies where:

The Policy Status is Inforce
The Start Transaction date falls within the selected reporting period

Current Pipeline: Displays the total Commission amount for policies that are still Pending.

Pending includes the following stages:

Submitted
Underwriting
Notes/Tests Required
Offer of Terms
Policy Accepted
First Meeting

Book Breakdown

This report tracks the performance of your top six Providers (based on your book of business) over the last 12 months. It shows the Total Inforce API, Issued API, Cancelled API, and Persistency with those companies.

All other providers are grouped together under “Other.”

Total Inforce API: The total value of L&R insurance policies currently inforce that were written by you.
Issued API: The value of inforce policies written by you, as the adviser, with a Start Date within the selected reporting period.
Cancelled API: The value of policies written by you, as the adviser, with a Cancellation Date within the selected reporting period.
Persistency: Your overall persistency rate, calculated to one decimal place.

API Stats

The API Stats widgets track your Submitted, Issued, Cancelled, and Net API over the selected time period.

There are five versions of this widget in your Dashboard:

CY (Calendar Year): January to December
FY (Financial Year): April to March
Quarterly
Monthly
Weekly

For the annual widgets (CY and FY), they also calculate:

API Completion Rate
App Completion Rate

Definitions:

Submitted API: Policies written by you, as the adviser, with a Submitted Date within the selected time frame.
Issued API: Inforce policies written by you, as the adviser, with a Start Date within the selected time frame.
Cancelled API: Policies written by you, as the adviser, with a Cancellation Date within the selected time frame.
Net API: Issued API minus Cancelled API.
API Completion Rate: The percentage of Submitted API that is issued.
App Completion Rate: The percentage of Submitted Policies that are issued.

API Rolling 12 Months: This widget provides a graph view of your L&R statistics over the last 12 months, including the current month. It tracks:

The broken lines on the graph show the corresponding API statistics for each month of the previous year, allowing you to compare year-on-year performance.

Adviser Stats

This widget tracks your adviser stats over the selected date range.

If you are a Business Owner, you can also view the combined stats for all of your advisers.

Use the Date box to set the reporting range. By default, this shows data from the current quarter.

Definitions:

Submitted API: Policies written by you, as the adviser, with a Submitted Date within the selected time frame.
Issued API: Inforce policies written by you, as the adviser, with a Start Date within the selected time frame.
Cancelled API: Policies written by you, as the adviser, with a Cancellation Date within the selected time frame.
KiwiSavers: Completed KiwiSaver applications within the selected time frame.

Let's explore Mortgage widget. This is:

Refix Mortgage

This widget displays mortgages with a Fixed Period End Date that falls within the selected date range. It also shows the associated Borrowing Entity and Provider for each client’s loan.

Use the Date box to select the reporting range.
By default, it shows all Fixed Period End Dates expiring in the next 2 months.

Click on a Borrowing Entity to navigate directly to the corresponding client profile and the specific mortgage with a Fixed Period End Date within the selected range.
