The schedule contains minimal information on it to help reduce visual clutter as much as possible. All important and more detailed information that you need to know about your students can be found in your coach portal.
Please view the schedule at home, before you leave for the pool, and refresh it on your phone so it fully updates. Refreshing it at the pool may fail if you have a poor internet connection, and you will not see any new students.
You can also see the most up to date schedule by logging in to your Coach Portal and checking your Manage Activities tab. Click here to learn more.
Check your texts daily. We will text you if the start time of your shift changes, but please also do your part by making sure to check the schedule every day.
Read the schedule carefully. Accidentally teaching a class for the wrong duration, or telling someone that their child isn’t on the schedule when they are, upsets the parents, and causes unnecessary challenges for Clo and the admin team.
Difficult students are identified on the schedule. If you need help teaching them, text the office number during business hours (Mon - Fri, 8:00am - 3:00pm). Examples of difficult students can be:
Parent & Tot
Adults
Special needs (Down syndrome, autism, etc.)
Medical issues (asthma, EpiPens, etc.)
Learn more about medical issues and special needs below.
On each school's schedule, you'll see a legend in the top left corner. This is to help remind you what something you see may mean, in case you forget.
Instead of writing details about any important medical conditions a child may have, we have developed a legend for the most common conditions that we encounter so you can see at a glance what you have. Details about their specific condition can be found in your coach portal, under the child's medical section.
Medical conditions are indicated by an emoji that gives you a general idea of the condition.
These students have medical conditions that you should be aware of.
As per the legend above, these students require epipens (syringe emoji) and inhalers (lungs emoji).
Atypical, or uncommon medical conditions, are represented by the generic ⚕️symbol. Please see the notes in your coach portal for more information about their condition.
If a child's name has a 🚿 next to it, this means this family has has been approved by the office to use the change room. This family must follow all the rules and procedures for using the change room (which they have been told). If they do not follow the procedures after being reminded once, please inform the office immediately as we cannot compromise our hotel contract with this hotel any more than it already is.
If multiple families from one class have been approved to use the change room, then those families must alternate days. They cannot both use the change room at once—the rule is still only one family per lesson uses the change room that day.
Please refer to the Protecting Cloverdale East Contract section to review the procedures for the one family per class who is permitted by the office only to use the change room.
Our VIP clients (GMs, Owners, family friends, etc.) will be [highlighted in orange with square brackets around "VIP"]. Nothing has changed in this instance aside from they are a bit easier to see :)
A child with the blue camera emoji next to their name means that that parent has not given us permission to film or photograph their child. Please make sure you follow this as we (and by extension, you) have not been given legal permission to film or photograph, and you may leave yourself open to liability.
You only need to be at the pool during the lesson times that have students. In the example to the right:
Classes are available from 9:00am - 12:45pm.
There are no students from 9:00 - 9:45am, and 12:00 - 12:45pm.
This means the coach starts at 9:45am, and leaves at 12:00pm.
Anything else listed on the legend is for administrator use. They help our registration team stay on the same page, and direct registrations appropriately, so please ignore them!
