You should have received an email from noreply@jackrabbittech.com telling you your username for the Staff Portal (Coach Portal) that we are running through our class management system (Jackrabbit).
The link to create your password will expire within 24 hours, so it's very important that you create your password as soon as you get your email so that the admin don't get flooded by requests from coaches to reset their passwords.
Now that your Coach Portal account password is set up, you can log in. Click the button below to go to the Coach Portal login screen.
The portal will ask you to choose your location. It does not matter which location you choose, and it will not impact your ability to do anything in the portal. For this reason, I recommend just leaving it on Abbotsford (the default selection) and clicking "Launch Staff Portal".
On the next screen, input the username that was emailed to you, as well as the password you created, then click "Login".
Once you are logged in, the system will keep you logged in for five hours, which should more or less cover the full duration of most shifts. This means that you won't have to fiddle with logging back in while you're on shift, and can easily access the information you need.
We intend on using more features in the near future, but for now, our main purposes for using the Coach Portal are:
For you to update all your students' report cards, which will be digital from now on. For instructions on how to update our online report cards, please go to our Swim Fins Report Cards page.
For you to be able to see which students are in your classes for that day in real time. This means that if a child's name is not on our normal schedule, but they are registered, they'll show up in your Coach Portal. If they are not on our normal schedule, and their name is not listed in the class on your Coach Portal, then that child is not registered for that class, and the parent has made an error (either registered for the wrong time or location). This replaces the step where a parent shows you their Jackrabbit account to confirm if they're in the proper class - you can do it yourself straight from your Coach Portal.
The portal will always default to the News tab. Here, you can find news and updates. You can expect the "Department News" section to remain empty, or "There is no department news" forever, but we will add things to Staff News periodically, so please make sure to check it before every shift.
This tab will show you every class that you have been assigned to (i.e. this is your schedule). Right now, it will just be a list of your classes. If you are subbing for another coach, any substitutions will show up in the My Substitutions menu.
This tab is where you will:
Check if a student who shows up, but is not on the schedule, is actually enrolled in your class.
Update your students' report cards. Please see the Swim Fins Report Cards page for detailed instructions on how to do this.
STUDENT IS NOT ON THE SCHEDULE
New procedure can be found in your Weekly Summary (Week 1)If a student shows up and is not on your schedule, follow these steps:
Log in to your Coach Portal account, go to the “Manage Activities” tab, and find the current class in the list below.
Click the Attendance button, and see if the student’s name is listed. If you’re not sure because a name is close, and you think they may be using a nickname, the name of the parent who registered the student is listed under the student’s age.
At the top right of your screen, there will be a menu called Actions (or just a hamburger menu, if you're on a phone). In here, you can reset your password if you need to, and log out. Friendly reminder that your location does not matter, so there is no need to worry about the "Change Location" option.
